Processes in Microsoft 365 for setting up Office apps, redeeming product keys, and activating licenses.
For an old school/work account, recovery depends on whether the account still exists and whether the files are still in that OneDrive.
Try these steps in order:
- Check whether the files are still in OneDrive on the web
Sign in to the OneDrive website and use Search everything at the top. Search by:- filename
- keywords inside the document
- dates
- places or tags
- Check the OneDrive Recycle bin
On the left side of the OneDrive website, select Recycle bin. If the file is there, select it and choose Restore. - Check whether the file was saved under a different Microsoft account
If both a personal Microsoft account and a school/work account were used on the device, the file may have been saved to the other account. Sign out and sign in again with any other Microsoft account previously used. - Check the local device
If the file had not synced yet, search locally using:- File Explorer or Finder
- the device Recycle Bin or Trash
- If the organization supports it, restore OneDrive to an earlier point
In OneDrive on the web, select Settings > Options > Restore your OneDrive. This can undo actions from the last 30 days.
Important limits from Microsoft support:
- Work or school accounts may have files deleted after 93 days.
- If files are not found in search or in the OneDrive Recycle bin, they usually can’t be retrieved.
- For a deactivated school account, the remaining path is to contact the school IT administrator/helpdesk. They may be able to investigate further.
If contacting the school IT team, provide:
- the file or folder names
- for photos/videos, the date taken
- approximately when the files were last accessed
- which device was used
