Billed by Microsoft monthly

I think I may have established a Microsoft 365 account in 2019 for a business that is now closed. I can no longer access the account, and I want to cancel any remaining subscriptions and a continuing recurring charge associated with it. Please help me identify the subscription, stop future billing, and recover access to my Microsoft account if possible.

    Dear @Brian McDonald

Thank you for reaching out. I understand how frustrating it must be to continue receiving monthly Microsoft charges for a business that closed several years ago, especially when you can no longer access the original account.

Since your main priority is to identify the subscription and stop future billing, I recommend contacting Microsoft Business Billing Support even if you cannot recover your administrator account immediately.

Step 1: Gather information to identify the subscription

    Before contacting Microsoft, please prepare:

    • Your former business name and domain, if known.
    • Any email addresses you may have used when registering Microsoft 365 in 2019.
    • The approximate monthly charge and recent transaction dates.
    • The last four digits of the payment card being charged.
    • Any previous Microsoft invoices or subscription confirmation emails.

These details can help Microsoft investigate the subscription and verify your ownership. Please do not share payment information publicly.

Step 2: Microsoft Business Billing Support

Since you cannot access the original Microsoft 365 Admin Center, I recommend contacting Microsoft directly using the official regional support numbers:

    Microsoft Customer Service Phone Numbers

    You can explain:

“I previously operated a business that closed several years ago. I believe I created a Microsoft 365 Business subscription around 2019, but I no longer have access to the administrator account.

My payment card continues to be charged monthly. I need assistance identifying the subscription, verifying ownership, and canceling the service to prevent future renewals.

I can provide billing statements and payment details securely for verification.”

If telephone support is unsuccessful, another possible option is to create a temporary Microsoft 365 Business trial tenant and use Admin Center > Help & support to request assistance with the original subscription.

This is only an alternative contact method and does not guarantee cancellation. Please review the trial terms to avoid additional charges.

Step 3: If you recover access to the original account

    1. Sign in to https://admin.microsoft.com.
    2. Navigate to Billing > Your products.
    3. Select the subscription you want to cancel.
    4. Choose Cancel subscription or Turn off recurring billing, depending on the subscription terms.
    5. Review the effective cancellation date and confirm the change.

Please note that some annual subscriptions are billed monthly. Turning off recurring billing may stop the next renewal without immediately ending payments owed for the current subscription term.

    Official Microsoft documentation:

Cancel your Microsoft 365 Business subscription

Step 4: If you cannot identify the charge

I also recommend contacting your bank or card issuer to discuss the recurring payment while Microsoft investigates. However, blocking a card payment does not necessarily cancel the underlying Microsoft subscription.

As a Microsoft Q&A Independent Advisor, I cannot access billing records, cancel subscriptions, or recover accounts on your behalf. Microsoft Support must verify the relevant account and billing information.

Could you please confirm two details?

    1. Do you remember the former business email address or domain used to register Microsoft 365?
    2. Are the recurring charges appearing directly on your bank or credit card statement as Microsoft charges?

With this information, I can help you narrow down the most appropriate recovery and cancellation process.

    1. First, check whether the subscription is tied to a Microsoft account that is still accessible:
      • Sign in to the Microsoft subscriptions page at account.microsoft.com/services using the Microsoft account that might have been used for the purchase.
      • If the subscription appears with options such as Manage, Cancel, or Change payment, it is billed by Microsoft.
      • If management options are missing or limited, it may be managed by a third party such as Apple, Google, or a retailer, and billing changes must be made with that provider.
    2. If the charge is from Microsoft but the exact subscription is unclear:
      • Use the Microsoft account Manage your payments page to investigate the charge.
      • If the wrong Microsoft account was used, this is the recommended path to identify the billing source.
    3. If access to the original Microsoft account is no longer available:
      • Use the Microsoft account sign-in help flow and account recovery options.
      • If recovery is not successful, contact Microsoft Support through the public support entry point and choose billing/support options.
      • A Microsoft Q&A accepted answer for this scenario recommends going to Microsoft Support, selecting Microsoft 365, choosing Get Home Support, entering billing, then using Sign in to Contact Support and navigating to Microsoft 365 and Office - Manage my Subscription to reach a support agent.
    4. If this was a Microsoft 365 for business subscription and admin access can still be recovered:
      • Go to the Microsoft 365 admin center.
      • Open Billing > Your products.
      • Select the subscription.
      • Choose Edit recurring billing and turn it Off.
      • This does not cancel the subscription immediately. It stays active until its expiration date, and scheduled changes are canceled.
    5. If the goal is full cancellation for a business subscription:
      • Cancellation depends on the billing account type.
      • For MCA billing accounts, cancellation with prorated credit or refund is only available within seven days after the subscription starts or renews.
      • After that window, the supported action is to turn off recurring billing so the subscription does not renew at the end of the term.
    6. If charges continue after cancellation:
      • Check whether cancellation was made more than 2 days before the billing date.
      • Also verify that the correct Microsoft account was used.
    7. Important business-account warning:
      • If the old business tenant still exists, deleting a billing account can be permanent and can also queue the Microsoft Entra tenant for deletion if it is the only billing account associated with that tenant.
      • Existing subscriptions continue to accrue charges until they are canceled individually.
