A collaborative workspace app in Microsoft 365 designed to help teams co-create, stay organized, and work together in real time across apps and devices.
For recurring Teams/Outlook meetings, there is not a built-in way to have one Loop workspace automatically linked to the whole meeting series while also giving each occurrence its own separate agenda page automatically.
What is supported:
- Create meeting notes or an agenda for a meeting
- In Teams, go to Calendar.
- Select New to schedule a meeting, or open an existing meeting.
- In Details, select Add an agenda.
- Add agenda, notes, or tasks.
- Send or save the meeting.
- Add follow-up tasks that sync with Planner
- In Teams Calendar, select New meeting.
- Select Add an agenda.
- Use the Follow-up tasks section to add task names, assignees, and due dates.
- Those task lists create and stay in sync with a plan in Planner.
- Use a Loop workspace as the central place for the series
- A practical workaround is to keep all recurring meeting content in a dedicated Loop workspace.
- For each meeting occurrence, create a separate page for that meeting’s agenda/notes in the workspace.
- This gives separate agendas per meeting while keeping everything grouped in one workspace.
- For future meetings
- Open the meeting from the Teams calendar before the meeting starts.
- Select Add an agenda or update the existing agenda.
- Agenda updates save automatically and appear to others.
- If the same agenda keeps carrying across every occurrence
- For a recurring series, changes made to the series apply to all future meetings in that series.
- Changes made to a single meeting affect only that meeting.
- To keep each week separate, edit the individual occurrence instead of the whole series.
Best-fit workflow for the requirement:
- Create a recurring meeting in Teams or Outlook on the web.
- Create a dedicated Loop workspace for the team meeting series.
- For each occurrence, create a separate page in that workspace for that meeting’s agenda and notes.
- In the meeting, use Follow-up tasks so action items sync to Planner.
- Keep outstanding tasks in Planner, and use the meeting-specific page only for that week’s agenda and notes.
- When editing a recurring meeting, make sure changes are made to the single occurrence when the goal is a one-off agenda.
Important limitations from the available guidance:
- Each recurring meeting instance can behave as its own Loop component for access and notes scenarios.
- Access and content do not automatically roll up across the whole series.
- External attendees cannot access or edit meeting notes.
- People who are not directly invited can have limited access to meeting notes.
