Access to loop recurring meeting notes

I have a problem with managing access to loop meeting notes on a meeting serie that recurs weekly.

Basically, when activating the notes on teams certain people need to send me a request to be able to access the loop notes...

My question is: is there a way to share the access to all the serie? Right now I'm allowing access to the notes every week, but there has to be a way to allow access for all the serie...

I tried with the loop settings but I can manage access just for the singular meeting, not the entire serie.

Could it be a setting that only the author of the meeting serie can do? (I'm not the owner of the meeting serie, I was added later)

Hello @GRISON Elena

Thank you for posting your valuable question in the Microsoft Q&A forum.

Unfortunately, Loop components in recurring Teams meetings do not automatically grant access to all participants across the entire series. Each instance of the meeting creates a new Loop component, and access must be granted individually unless:

  • The meeting organizer manually shares the Loop component with the required participants.
  • The Loop component is moved to a shared workspace or OneDrive folder with broader permissions.

I did some research and there are some workarounds you may want to try:

Ask the Meeting Organizer to Share Access Broadly:

Since you're not the meeting series owner, only the organizer can:

  • Set the Loop component to be accessible to “People in your organization” or a specific group.
  • Place the Loop file in a shared location (e.g., a shared Teams channel or SharePoint folder).

Use a Shared Loop Workspace:

  • Create a Loop workspace for your team or project.
  • Add all relevant members.
  • Store all meeting notes there and link to the relevant page in each meeting invite or chat.

Use a Template Approach:

  • Create a Loop template for meeting notes.
  • Duplicate it for each meeting and share the new page with the team.
  • This gives you control over structure and access.

Use OneNote or Wiki: If Loop’s access model is too restrictive, consider using OneNote shared via Teams, which supports persistent access across a meeting series.

I know this limitation can cause inconvenience to some users. I encourage you to submit feedback and upvote existing feature requests to show demand from the community at Loop · Community. The Product Team is in-charge of the feedback site, and they are constantly checking the comments and feedback from our customer. Many features have been developed or improved based on users' comment.

In the meantime, I will also forward your feedback to the appropriate team for further consideration.

Thank you for your understanding so far!
