How to Cancel an Office 365 Subscription for a Resigned Employee

A resigned employee did not cancel their Microsoft Office (Microsoft 365) subscription, and the subscription fee is still being charged monthly to the company bank account.

At this point, the only information available is the transaction detail shown on the bank statement when the payment is deducted (most likely an Invoice Number or Microsoft reference number).

    Based on the information provided, it appears that the resigned employee subscribed to Microsoft 365 using their personal Microsoft account, but used the company’s payment card. When a subscription is purchased this way, it becomes tied entirely to the individual’s Microsoft account, not the organization’s Microsoft 365 tenant.

    This means:

    • The subscription does not appear in your Microsoft 365 Admin Center.
    • The company cannot cancel it from the admin portal.
    • Microsoft continues charging the saved payment method until the subscription is cancelled or the card is removed.
    • The only details the company sees are the bank transaction references, not the account that owns the subscription.

    This behavior aligns with Microsoft’s standard rules for personal Microsoft 365 subscriptions, which can only be cancelled by the account owner or by verifying ownership through Microsoft Support.

    Therefore, here are several options depending on what access you have:

    -Option A: If the former employee can be contacted:

    • Ask them to sign into https://account.microsoft.com/services using the Microsoft account they used for the subscription, then:
    • Locate the Microsoft 365 subscription
    • Select Cancel subscription
    • Follow the on‑screen steps

    -Option B: If the employee is not reachable:

    You still have two paths:

    1. Contact your bank / credit card provider:

    • Provide them with the transaction reference number from your bank statement.
