The head of a collective left the collective without leaving necessary data for a microsoft online service. What can we do to reset the administration data?

    Hi Jürgen,

Thank you for sharing about your situation.

Based on your descriptions, I recommend the following checks:

1/ If another Global Administrator is still available

    • That administrator can reset the affected account’s password, update its authentication methods, or assign the appropriate administrator role to the new person in charge.

2/ If the former administrator was the only Global Administrator

    • You or the tenant owner will need to contact Microsoft Support and request assistance from the Data Protection team. They can guide you through the tenant ownership verification process and help recover access to the administrator account.

If the tenant was purchased or is managed through a Microsoft Partner or reseller, contact that partner or reseller and ask them to assist with the recovery process or submit a support request on the organization’s behalf.

When contacting Microsoft, be prepared to verify ownership of the subscription. You may be asked for information such as:

    • Organization name
    • Billing or payment information
    • Registered phone number
    • Alternate email address

Due to the sensitive nature of Global Administrator privileges, Microsoft must complete the required ownership verification before any tenant recovery action can be performed.

Please try locating the appropriate hotline for your region here: Customer service phone numbers - Microsoft Support

In this situation, the Microsoft Data Protection team has tools and processes in place to verify identity and regain access to administrator accounts.

Here are some tips and an example of a prompt to help you navigate the IVR more effectively:

(When you call the support number, you may hear an introduction of about 30 seconds such as "you can visit the link...". You can ignore this introduction and wait until you are presented with the options. Then press "1" as a business email user, and again "1" for technical help.)

In some regions, the initial interaction may be automated, so here’s a general idea of how the conversation might go to help you prepare:

    • What kind of problem are you experiencing?
    • Answer: Tenant lockout
    • What products do you use?
    • Answer: Office 365 for business
    • Is this for an education or company account?
    • Answer: For companies
    • Are you an administrator?
    • Answer: Yes
    • Are there any other administrators in your organization?
    • Answer: No. I am the only admin in my tenant
    • Do you need a... Service request?
    • Answer: Yes. I need to create a ticket. Please send me direct to the Data Protection Teams.

I also recommend calling during business hours. In my experience, it can be difficult to get through to the correct support queue, and automated systems don't always work as expected. If you can't get through on your first try, I suggest trying again later or at a different time.

I know being locked out of the only admin account can be stressful, but contacting the Data Protection team is the correct path forward in this scenario.

I hope these steps help you create a support ticket successfully and move closer to regaining access to your administrator account. While I’m not able to intervene directly, guiding you to the right support team is the most effective help I can provide here.

Hope you're able to get this resolved soon.

If the former head was the only administrator, the supported recovery path is to regain control through Microsoft’s tenant/admin recovery process.

    1. First, try to identify whether any other administrator still exists in the organization.
      • Contact the internal help desk, technical support, business owner, or the person who originally provided the account details.
      • If another admin exists, that admin can reset the account or reassign admin rights.
    2. If no other admin is available, sign in to the Microsoft 365 admin portal and check whether recovery prompts are available.
      • Go to the admin portal.
      • Try signing in with any previously used organizational account.
      • If prompted to request admin access, follow those steps.
    3. If access is completely lost, use Microsoft’s official recovery/support path.
      • Submit a support request from the Microsoft 365 support page.
      • Select I can't sign in or access my tenant.
      • Be prepared to verify organizational ownership through items such as business documentation, domain ownership, or other identity verification requested by Microsoft.
    4. If the tenant is locked out and no admin can complete MFA or password recovery, Microsoft support must engage the Data Protection team through a support ticket.
      • This is the path used when the only global admin has left, is unreachable, or MFA/password recovery cannot be completed.
    5. If the organization’s domain is in an unmanaged directory scenario, follow the Administrator Takeover process for an unmanaged directory as Microsoft Entra administrator.
    6. If a Microsoft partner created or manages the tenant, contact that partner directly for recovery assistance.

If the issue is only a forgotten password and an administrator still exists, the password can be reset by another administrator, or by using the Self-Service Password Reset wizard if it was configured.
