Processes in Microsoft 365 for setting up Office apps, redeeming product keys, and activating licenses.
First determine whether the prompt belongs to a new Microsoft 365 subscription signup, an existing company tenant, or account recovery, because creating another account or restarting signup could produce a duplicate tenant or subscription.
1. If your company already uses Microsoft 365
Contact the company’s Microsoft 365 administrator rather than creating a new tenant. Ask the administrator to:
- Open Microsoft 365 admin center → Users → Active users.
- Search for the intended work address.
- Confirm that:
- The user account exists.
- The username and domain are correct.
- A license containing Exchange Online is assigned.
Assigning an Exchange Online license to a user causes Microsoft 365 to create the mailbox automatically.^1^
If the account is licensed but the mailbox is missing, an administrator can run the mailbox-provisioning diagnostic in the Microsoft 365 admin center. Provisioning normally takes less than 30 minutes but can take up to 24 hours. That diagnostic is unavailable for Microsoft 365 Government, Microsoft 365 operated by 21Vianet, and Microsoft 365 Germany.^2^
The administrator should use the diagnostic or Exchange administrative tools to confirm mailbox existence; Active users alone confirms the account and license state.
2. If this is a verification-method or account-recovery prompt
The displayed address may be a previously registered security method rather than proof that a new mailbox has been provisioned.
If the page offers Sign in another way, Use another verification method, or equivalent:
- Select it and use any previously registered phone, Microsoft Authenticator, or alternate method.
- After signing in, open
https://mysignins.microsoft.com/security-info. - Select Add sign-in method.
- Register and verify a reachable phone number or Microsoft Authenticator.
- Remove the inaccessible method only after the new method works.^3^
A personal email can be added only when the organization permits Email under Security info → Add method. It cannot be the work or school address. More importantly, email security information is for password-reset authentication only, not two-factor sign-in verification; use a phone, Authenticator, or another permitted method for MFA.^4^
If no registered method is accessible, the organization’s administrator must reset the account’s MFA registration. A forum advisor or ordinary Microsoft Support representative cannot directly change authentication methods controlled by the company tenant.^5^
3. If this is genuinely a brand-new direct Microsoft 365 signup
Use this branch only if the company does not already have a tenant or subscription and the purchase was not completed.
The documented Business Basic signup order is:
- Enter an email address you already use for setup, billing, and renewal communications.
- Provide company details.
- Verify yourself by text message or phone call.
- Create the initial administrator account with an
onmicrosoft.comdomain. - Complete the purchase and enter the Microsoft 365 admin center.^6^
Do not restart this process until confirming that no tenant, administrator account, order, or subscription was created. If one exists, sign in with the initial onmicrosoft.com administrator account or use the support path below.
After reaching the admin center, add the company domain through:
Show all → Settings → Domains → Add domain
Domain ownership is verified through the registrar—normally with Domain Connect or a DNS TXT record—not by receiving mail at the new address. This requires an appropriate domain-administrator role and access to the domain registrar’s DNS settings.^7^
Then create the user, assign an Exchange Online license, and allow mailbox provisioning to complete.
If the exact workflow remains unclear
Record the exact page address, product being purchased or redeemed, partially masked destination shown for the code, and whether the company already has Microsoft 365. Do not post the full email address, tenant ID, verification code, or payment details publicly.
An administrator can open Microsoft 365 admin center → Help & support → Contact Support. If admin-center access is unavailable, use Microsoft’s business phone-support route. Microsoft may send a support-verification PIN to contact information already registered to the organization, so have any accessible registered phone or email available.^8^
