I received an email stating that Microsoft 365 Family cloud storage will change from 1 TB per person to 2 TB of shared storage:
“More flexible cloud storage: Your cloud storage allowance will change from 1 TB per person to 2 TB of shared storage so everyone on the plan can use the free space while keeping their own accounts and files private.”
I understand how shared storage may be more flexible when only one or two people use most of the available space. However, I do not understand how this is an improvement for a family that has several active users.
Under the current arrangement, up to six people can each receive 1 TB, providing as much as 6 TB of total storage across the family. Under the new arrangement, those same people will share only 2 TB. That is potentially 4 TB less total storage than the family previously received.
Microsoft’s support article confirms that the primary subscriber and up to five additional members will draw from the same 2 TB shared pool, while each person’s files will remain private unless that person shares them.
As the family subscription manager, will I have any administrative controls to manage this shared storage?
Specifically:
- Can I assign a storage limit to each family member?
- Can I reserve a certain amount of storage for specific members?
- Can I prevent one person from consuming most or all of the shared pool?
- Can I view how much storage each person is using without seeing their private files?
- What happens if one member fills the shared pool and prevents everyone else from uploading or synchronizing files?
I have reviewed Microsoft’s published information, but I have not found documentation confirming that family organizers can establish per-member quotas. The storage is described as a single shared pool rather than storage assigned individually.
If individual limits are not available, this change creates a management problem. One person’s usage could affect every other member, even though the organizer has no documented way to allocate the space fairly.
Calling the change “more flexible” addresses only one type of family usage. It may help a household where one person needs more than 1 TB and everyone else uses very little. For a family with several active OneDrive users, however, replacing up to 6 TB with 2 TB is a substantial reduction in the subscription’s total included storage.
Can Microsoft please confirm whether family organizers will be given per-member storage controls before this change takes effect?
