Sign in to the Microsoft 365 admin center with the work or school account belonging to the organization on the invoice, not a personal Microsoft account; that account must also hold the billing permission required to view and pay the invoice.
Pay the invoice
- Open the Microsoft 365 admin center and sign in with the organization’s business account.
- Go to Billing → Bills & payments → Invoices.
- Select the outstanding invoice.
- Select:
- Pay now for an eligible Microsoft Customer Agreement (MCA) invoice, or
- Pay your balance for a past-due Microsoft Online Subscription Agreement (MOSA) invoice.
- Select an existing credit/debit card or add a new one, then submit the payment. Microsoft documents the complete payment flow and account-type differences here: ^1^
The message displayed indicates that the signed-in account cannot access the business admin page. Using another personal Microsoft account will not resolve the billing permission requirement.
If another administrator manages the organization
Ask that administrator to grant access appropriate to the billing-account type:
- MCA: Billing account owner/contributor, Billing profile owner/contributor, or Invoice manager can perform applicable invoice-payment tasks.
- MOSA: At least the Billing Administrator role is required. ^1^
For an MCA billing profile, its owner can assign the least-privileged Invoice manager role:
- Go to Billing → Billing accounts.
- Select the billing account.
- Open Billing profiles and select the applicable profile.
- Select Billing profile roles → Assign roles.
- Enter the user’s organizational account, select Invoice manager, and select Assign.
An Invoice manager can view and pay bills without receiving broader profile-editing permissions. Billing-profile roles apply only to MCA billing profiles. ^2^
To identify the account type, an authorized user can open Billing → Billing accounts and check the Billing account type column. ^3^
If no administrator account is accessible
Contact Microsoft 365 business billing support using the country/region phone-support route. Have the organization and subscription details available, but do not post the invoice number or other billing information publicly. Microsoft may verify the request using the email address or telephone number registered in the organization profile. ^4^
If an administrator can enter the admin center but cannot access billing:
- Select Help & support.
- Enter a description such as “Unable to access and pay an outstanding business invoice.”
- Select Contact Support, then choose phone or email.
If the subscription was purchased through a reseller or Cloud Solution Provider, contact that partner instead. Microsoft directs customers whose subscriptions were all purchased through a partner to obtain support from the partner. ^4^
