Teams Rooms Basic License isn't shown in Marketplace Screen nor in License Screen

Hey folks!

I bought a Yealink A40 Meeting Room Setup, which is a certified Teams Rooms hardware.

I understood from several Microsoft documentation and marketing pages that MS offers 25 Teams Room Basic licenses free of charge. I understood as well that I should be able to assign such licenses to any Room Resource I created, once selected in the Marketplace dialog.

Unfortunately, I can't select the Team Rooms Basic license in the Marketplace. The only Rooms license I can find is the Pro one, which isn't free. When I open the Room Resource and check for available license's there, the Team Room Basic License isn't listed. When I try to log into the Room Resource Account with the Yealink device, the device says the correct license is missing.

We self-manage our Teams setup. Just to double check I reached out to a MS Sales Partner to check if they can assign the Teams Rooms License from their end to any client. They can not, they told me.

So very basic question: How do I get the Teams Rooms Basic license so that I can assign it to the Room Resource?

    Good day Florian,

Just to gently clarify before going any further, this forum is separate from Microsoft Support. I don’t have the ability to access or investigate individual accounts or escalate the issue directly Microsoft Support because this is a user‑to‑user support forum.

Your understanding is correct. The Yealink A40 is a certified Microsoft Teams Rooms device and is eligible for a Teams Rooms Basic license. Based on Microsoft's documentation, purchasing the device doesn't automatically add the license to your Microsoft 365 tenant. The license must first be added to the tenant and then assigned to the room resource account used by the device.

Since only Teams Rooms Pro appears in Marketplace, the Teams Rooms Basic offer is currently unavailable in your tenant and cannot be assigned at this time:

    • I recommend contacting Microsoft Support through the Microsoft 365 admin center > Support > Help & support.
    • Turn off the "Support Assistant" feature.
    • Use the keyword "Support" to quickly bypass automated suggestions > Select Contact Support.

    User's image

    • In the ticket description, please clearly describe the issue, including the troubleshooting steps you have already completed. Attach screenshots or screen recordings that show the missing Teams Rooms Basic offer.
    • Additionally, sharing your preferred contact times may help the support team handle the case more efficiently.

A Microsoft support engineer can review the tenant configuration, verify the licensing and billing setup, perform additional backend checks and escalate the case to the appropriate team if further investigation is required.

Note: If you don't see the support option or don't have sufficient administrative permissions, please contact your Global Administrator for assistance. In case you do not know who is your Global admin, kindly refer to this article: How do I find my Microsoft 365 admin? - Microsoft Support

I wish I could help more directly, but as a fellow user in this community, providing these steps is the best support I can offer. I hope this helps point you in the right direction. If you have any updates or additional questions, feel free to reply back and I'll do my best to assist further.

Teams Rooms Basic must be added directly to your tenant through Microsoft 365 admin center → Billing → Purchase services; it is a Web Direct-only offer, so a CSP or sales partner cannot add it for you.^1^

    Add the Basic subscription

Use an account with appropriate license-purchasing permissions:

    1. Sign in to the Microsoft 365 admin center.
    2. Go to Billing → Purchase services.
    3. Search for Teams Rooms.
    4. Open Teams Rooms Basic → Details.
    5. Select the required quantity—normally one for your Yealink system—and complete the purchase.

Although Basic has no license charge, Microsoft requires payment details to add it. The documented limit is 25 Basic licenses per tenant.^1^ The detailed acquisition sequence is documented here.^2^

    If Basic is still missing

Since you already searched the Marketplace and only Pro appears, do not attempt to obtain Basic through your partner. Check these eligibility conditions:

    • Tenant segment: Basic is available for Commercial, Education, and Non-Profit tenants. Unlike Pro, it is not listed for GCC, GCC-High, or DoD.
    • Acquisition channel: Basic is Web Direct only; Pro is offered through additional channels such as CSP and enterprise agreements.
    • Existing quantity: Check Billing → Your products or Billing → Licenses to determine whether the tenant already has 25 Basic licenses.
    • Billing setup: Ensure the tenant has a usable payment method, even though the resulting Basic subscription is free.^1^

If the portal specifically reports “You don't have any billing accounts for buying products,” this is a billing-account permission issue. A Global Administrator can assign the required billing-account role; a Billing Administrator without access must ask the Global Administrator.^3^

If none of those conditions explains why Basic alone is absent, open Microsoft 365 admin center → Support → Help & support and request a Microsoft 365 commerce/billing investigation. Include:

    • Tenant segment and billing country/region
    • Screenshot showing Pro but not Basic
    • Current Basic-license count
    • Confirmation that the search was performed under Billing → Purchase services
    • Confirmation that a payment method is present

The available documentation does not identify another self-service acquisition route when the eligible Web Direct offer is missing.

Assign the license to the room account

After Basic appears under your tenant’s licenses:

    1. Go to Users → Active users.
    2. Select the room resource account.
    3. Open Licenses and apps.
    4. Select Microsoft Teams Rooms Basic.
    5. Select Save changes.^4^

Also ensure the room resource account has a password and that Require this user to change their password when they first sign in is disabled; requiring that change causes Teams Rooms sign-in problems.^5^

Then sign the Yealink device in with that room resource account. Basic covers one certified Teams Rooms system per room; using the same account on multiple room systems requires Pro.^1^
