Compare the delivery time in Outlook on the web, then select View → Sync in New Outlook; if the message is already visible on the web but appears in New Outlook only after syncing, the delay is isolated to the New Outlook client.
Test where the delay occurs
- Keep New Outlook and Outlook on the web open for the same business mailbox.
- Send a test message from a different account and note when it appears in each client.
- In New Outlook, select View → Sync. A synchronization status appears at the bottom of the message list.^1^
- Interpret the result:
- Web receives it promptly; New Outlook is late: client/background synchronization issue.
- Both receive it late: ask the Microsoft 365 administrator to investigate mail flow or service health; changing the Outlook client will not identify the server-side delay.
- Sync immediately reveals the message: use Classic Outlook temporarily if prompt delivery is operationally important. A closely matched business case used Classic Outlook as the workaround while the New Outlook synchronization behavior was escalated.^2^
The current Microsoft tracker does not list a general active issue specifically describing incoming mail being slower in New Outlook than in Classic Outlook.^3^
Check these applicable conditions
- Recent password change: Select the affected account name in New Outlook, select Continue when prompted, and sign in with the new password.^1^
- Intermittent connection: Open a browser and verify that ordinary websites load reliably. New Outlook cannot synchronize while the connection is unavailable.^1^
- Microsoft cloud storage is full: Review the mailbox/storage usage and free space if it has reached its limit; full Microsoft cloud storage can prevent mail from being sent or received.^1^
- Gmail, Yahoo, iCloud, POP, or IMAP account: The documented Sync button does not provide the same manual synchronization capability for third-party accounts. Record the provider and account type when escalating.^1^
Do not run Classic Outlook profile, PST/OST, or classic automated troubleshooters against this problem; Microsoft states that those troubleshooters do not apply to New Outlook.^4^
If the delay remains client-only
Have the Microsoft 365 administrator open a support request and include:
- Affected mailbox and whether it is Exchange Online or a third-party account
- New Outlook and Windows versions
- Test-message sent time, web arrival time, and New Outlook arrival time
- Whether View → Sync or reopening New Outlook caused the message to appear
- Whether multiple users are affected
- VPN/network conditions and approximate start date
Continue using Classic Outlook until support identifies the client or tenant condition if delayed delivery creates a business risk.
