cannot access my account as my IT manager is ill. Need help

I have received emails that my storage capacity has been exceeded. I have a small business account servicing 3 users and we wish to ensure we have adequate storage. The IT Manager who administers the account is long-term ill and not available. He gave me his password, but your website requires 2 factor authentication using his contact details. So, I cannot access the account. I need to transfer management of the account to myself so that we can continue to manage our business account going forward. I may also have a personal account - if so, I need to merge this with my business account as I do not need two accounts. My number is +353 87 606 2902. Please help.

Contact Microsoft 365 business phone support and request escalation to the Data Protection/Tenant Recovery team, because possession of the administrator’s password does not bypass MFA or permit management to be transferred.

    1. Recover administrative control

    1. Remove the telephone number from this public post. Provide personal, account, and billing information only through an official Microsoft Support case.
    2. Call Microsoft Support using the current Ireland numbers:
      • 1800 832 352 (toll-free)
      • 1525 1812 (toll)
These numbers are listed on Microsoft’s customer-support page.^1^
    3. Describe the case as:

“Microsoft 365 for business tenant; the only available administrator cannot complete MFA; no other administrator is available; administrative access and tenant ownership recovery are required. Please create a service request and escalate it to the Data Protection/Tenant Recovery team.”

    4. Prepare the following for ownership verification:
      • Business name and registration information
      • Microsoft 365 tenant name and, if known, tenant ID
      • Administrator email address
      • Custom domain and proof that the business controls it
      • Subscription details, invoices, order numbers, and billing information
      • Details of accessible user accounts in the tenant
      • A new business-controlled email address and telephone number

When the sole Global Administrator cannot use the registered MFA methods, an ordinary user cannot reset that administrator’s authentication methods or assign themselves an administrator role; Microsoft Support must verify tenant ownership and handle recovery.^2^

If the subscription was purchased entirely through a Microsoft partner, contact that partner first. Microsoft’s business support guidance directs partner-purchased subscriptions to the partner for support.^3^

If any of the other two users already has an administrative role, that administrator may be able to reset authentication methods and assign a new administrator. Otherwise, do not continue attempting to sign in with the unavailable person’s MFA identity.

    2. After access is restored

Create an administrator account in your own name and use your own MFA methods. Do not simply continue sharing the IT manager’s credentials.

Also establish administrative redundancy. Microsoft recommends at least two Global Administrator accounts with distinct credentials and MFA methods, plus emergency-access arrangements that are not tied to a personal telephone number or email address.^4^

    3. Resolve the storage warning

The warning alone does not establish whether the limit concerns OneDrive, SharePoint, or an Exchange mailbox. After obtaining administrator access, inspect the affected service and user before purchasing additional capacity.

    For an individual user’s OneDrive:

    1. Open Microsoft 365 admin center → Users → Active users.
    2. Select the affected user, then open OneDrive.
    3. Review Storage used and the configured limit.
    4. If the assigned licence supports it, select Storage used → Edit and raise the quota.
    5. Otherwise, assign a licence with the required storage entitlement or reduce usage by moving/deleting files and emptying the OneDrive recycle bin.

A OneDrive site that exceeds its effective quota can become read-only until usage is reduced or an eligible quota is increased.^5^ An organization-wide SharePoint storage-pool warning is a separate issue and must be reviewed in the SharePoint admin center.

    4. Personal and business accounts cannot be merged

A personal Microsoft account and a Microsoft 365 work account are separate identities and cannot be merged. They can be used side by side, and files may be manually copied between their separate OneDrive locations.^6^

If both accounts use the same email address and produce a “Which account do you want to use?” prompt, choose:

    • Work or school account for the company’s Microsoft 365 tenant.
    • Personal account for the consumer Microsoft account.

After business access is recovered and data has been reviewed, the personal account can be renamed by changing its primary alias if the duplicate sign-in name is confusing. Do not close it until any personal OneDrive files, purchases, subscriptions, Skype/Xbox data, or other services attached to it have been checked.

    Hi,

I’m sorry to hear that your IT manager is unwell. I understand you need to take over administration of your business account and address the storage warnings.

Could you confirm whether anyone else in your organization has Global Administrator access and can still sign in?

If other user still holds the Global Administrator role, please kindly follow these steps:

Sign in to the Microsoft Entra Admin Center using an account that has at least the Authentication Administrator role.

    • Navigate to Entra ID > Users.
    • Select the user whose MFA authentication methods you wish to reset, then choose Authentication methods.
    • Select Revoke multifactor authentication sessions, and then select Require re‑register multifactor authentication.
    • After completing these steps, the user will need to set up MFA again. You can do this by signing in and configuring MFA through the Microsoft Authenticator app on mobile devic

If you are the only administrator in your organization, you will need to contact the Microsoft Data Protection team for further assistance. Please locate the appropriate support phone number for your country or region and contact Microsoft Support so the frontline team can raise a service request on your behalf: Please try to find the related hotline number to call the frontline and let them raise a ticket for you: Customer service phone numbers - Microsoft Support

Here are some tips and an example of a prompt to help you navigate the IVR more effectively:

(When you call the support number, you may hear an introduction of about 30 seconds such as "you can visit the link...". You can ignore this introduction and wait until you are presented with the options. Then press "1" as a business email user, and again "1" for technical help)

In some regions you may initially interact with an automated system, so here is an example of how you can answer the prompts to reach the right team more quickly:

    • What kind of problem are you experiencing
    • Answer: Authenticator
    • What products do you use?
    • Answer: Office 365 for business
    • Is this for an education or company account
    • Answer: For companies
    • Are you an administrator?
    • Answer: Yes
    • Are there any other administrators in your organization?
    • Answer: No. I am the only admin in my tenant
    • Do you need a... Service request?
    • Answer: Yes. I need to create a ticket. Please send me direct to the Data Protection Teams.

During the call, you will be asked to provide information that verifies your identity and proves ownership of the tenant, such as your organization name, billing information, contact email, phone number, or other subscription‑related details.

If you are unable to reach support via the phone numbers, there is a workaround you might consider: You can register for a new Microsoft 365 tenant by signing up for a trial subscription here: Microsoft 365 Business Plans and Pricing | Microsoft 365

    User's imageUser's image

Once the new tenant is created, you can access the admin center and submit a support ticket from there, requesting to speak with the Data Protection Team on behalf of your original tenant.

    Important notes:

    • This new trial tenant will not give you access to any of the data or settings in your original locked tenant. It is solely a temporary means to contact Microsoft support.
    • The resolution time might be longer as you are contacting support from a different tenant.
    • Remember to cancel the trial subscription for the new tenant once your issue with the original account is resolved to avoid any unintended charges.

I hope the information provided helps guide you in the right direction. Although I’m unable to take direct action, I sincerely hope that the steps and recommendations I’ve shared can support you through the process.
