    Hi Ramseur,

Thank you for contacting Microsoft Support regarding syncing your iCloud Contacts to the New Outlook app on your Acer Aspire 5 running Windows 11, while keeping all phone numbers and notes from your MacBook Pro contacts.

Your contacts are stored in your iCloud account rather than on the laptop itself, which is why they need to be connected to New Outlook through your Apple Account before they appear.

To keep your data safe and sync your contacts smoothly, please follow the steps below:

1/ Create a backup of your contacts first

    • Go to icloud.com and sign in with your Apple Account.
    • Open Contacts and press Ctrl + A to select all contacts.
    • Then, select the More icon and choose Export vCard.
    • Save the file in a safe place on your laptop. This way, a full copy of your contacts, including phone numbers and notes, is always available.

2/ Add your iCloud account to New Outlook

    • Open New Outlook, select the View tab, and then select View settings.
    • After that, go to Accounts and select Your accounts.
    • Select Add account, enter your iCloud email address, and then select Continue.
    • When your browser opens, sign in with your Apple Account and select Allow to give Outlook access.
    • Once the Success message appears, select Done.
    • Reference: Add or manage an iCloud email account in Outlook

    3/ Check your contacts

    • Select the People icon on the left side of New Outlook.
    • Then, open your iCloud contacts folder and review a few contacts to confirm that phone numbers and notes are displayed correctly. User's image

As a result, your iCloud contacts will stay in sync between your MacBook Pro and New Outlook, and any changes made on one device will also appear on the other. Moreover, since the contacts remain stored in iCloud, no data will be lost during this process.

To keep the contact data, use one of these supported paths:

    1. If using Outlook for Windows with iCloud for Windows integration
      • Install iCloud for Windows.
      • Open the iCloud app and sign in with the Apple ID.
      • Turn on Contacts and Calendars and select Apply.
      • Open Outlook. The iCloud contacts and calendars should then synchronize with Outlook.
    2. If contacts need to be brought into new Outlook as imported data
      • Export the iCloud contacts as a .vcf file.
      • On Windows, convert the .vcf to .csv:
        1. Open File Explorer.
        2. Go to C:\Users\<username>\Contacts.
        3. Select Import.
        4. Choose vCard (VCF file) > Import.
        5. Select the exported iCloud .vcf file.
        6. For each contact, select OK.
        7. Select Close.
        8. Select Export.
        9. Choose CSV file > Export.
        10. Choose Browse and save the file.
      • Then import the .csv into Outlook.

    Important data note:

    • The documented conversion path is .vcf to .csv. A .csv file may not preserve all contact details exactly the same way as the original iCloud contact format, so verify the exported file before importing.
    • If there are more than about 50 contacts, the Windows import step is tedious because OK must be selected for each contact individually.

For new Outlook specifically, Microsoft also supports syncing some non-Microsoft accounts to the Microsoft Cloud. For new Outlook for Windows, the provided documentation shows this is available for Gmail, Yahoo, iCloud, IMAP and POP accounts in one article, while another article lists Gmail and Yahoo only. The directly documented iCloud contact sync method with Outlook on Windows is iCloud for Windows.
