A Microsoft file hosting and synchronization service.
Open the files from their actual folder instead of Recent, because a Recent entry is only a link and stops working when its file or folder has been moved, renamed, or is temporarily unavailable.^1^
1. Locate and open the actual files
- Open Word or Excel.
- Select File > Open > Browse.
- Check both:
- Documents
- OneDrive > Documents
- Select a document and open it.
- If successful, right-click the broken entry under Recent and select Remove from list. Opening the real file creates a new, working Recent entry.
If you cannot locate the files:
- Press Windows key + E.
- Select This PC.
- Search for a known filename, or search by extension:
-
*.docxfor Word documents -
*.xlsxfor Excel workbooks
-
Windows can search the entire PC from File Explorer.^2^
2. Check whether the files are in OneDrive
Sign in at OneDrive.com with the Microsoft account normally used on this PC, then:
- Open Documents or use Search everything.
- Try opening one affected file in the browser.
- Check the OneDrive Recycle bin if files are missing.
- If the files are not present, check whether they were saved under another Microsoft account.^3^
If the files open online but not on the PC, check the OneDrive cloud icon near the Windows clock:
- Gray icon with a line: OneDrive is not signed in or setup is incomplete. Open Start, search for OneDrive, and sign in.
- Paused symbol: select the cloud icon and choose Resume syncing.
- Red X or warning symbol: select the icon to display the specific sync problem.^4^
After OneDrive finishes syncing, return to File Explorer > OneDrive > Documents and open the file directly.
3. If OneDrive is running but the local links remain unavailable
Re-link the personal OneDrive account:
- Select the OneDrive cloud icon.
- Select Help & Settings > Settings > Account.
- Select Unlink this PC > Unlink account.
- Start OneDrive and sign in again.
- When told that the OneDrive folder already exists, select Use this folder.
- Wait for synchronization to complete before testing the files.^5^
Unlinking does not delete the cloud copies, but allow synchronization to finish before moving or deleting anything.
4. Check filename and path restrictions
If only files in deeply nested folders fail, copy one file to a short location such as Documents and test it there. Windows Office desktop applications cannot open a file when its complete path exceeds 260 characters.^6^
For Excel files, also rename files or folders containing characters such as [ ], ?, <, >, :, |, or *.^7^
5. Repair Office only if files exist but still fail when opened directly
If the same files fail from File Explorer or File > Open > Browse, repair Office 2021:
- Right-click Start.
- On Windows 11, select Installed apps; on Windows 10, select Apps and Features.
- Find Microsoft Office 2021, select its menu, and choose Modify.
- Select Online Repair > Repair.
- Restart the computer after completion.^8^
Do not edit the registry or change the Windows Documents-folder location at this stage; first establish whether the files exist locally, online, or only as obsolete Recent links.
