    Dear @kent evans

I understand the confusion. The account licensing your Outlook app and the business email accounts added to it can have different passwords. You do not need to change your personal Microsoft account password to update a business mailbox’s sign-in.

    I recommend these steps:

    1. Confirm which business account’s password the administrator changed. Your two business addresses may have separate passwords, unless one is a shared mailbox.
    2. If your business email is hosted in Microsoft 365, test the affected account at Outlook on the web using its full business email address and the new password. Complete any password-change or verification prompt.
    3. If web sign-in works, close and reopen Outlook. Select any Sign in, Need password, or account-warning prompt, and enter the affected business account’s credentials not your personal subscription credentials. Outlook normally requests the updated password after a password change. support.microsoft.com
    4. If web sign-in fails, ask the administrator who supplied the password to check that account before making further changes in Outlook.

If either address is a shared mailbox, it normally uses your authorized business account’s sign-in rather than a separate shared-mailbox password. Your administrator can confirm this. Please refer to this document: About shared mailboxes in Microsoft 365

Could you confirm whether you use classic Outlook, new Outlook, or Outlook for Mac, and share the exact warning message with personal details hidden?

For your privacy, please remove your home address and phone number from this public post. Please do not share any passwords.

The business administrator must reset the sign-in verification methods for each affected business account first; only after each account works in a web browser can Classic Outlook refresh its saved sign-in.

    1. Ask the business administrator to restore access

Changing the password does not update an inaccessible phone verification method. For each business account that cannot sign in, ask an Authentication Administrator to:

    1. Open the Microsoft Entra admin center.
    2. Go to Entra ID → Users.
    3. Select the affected user.
    4. Select Authentication methods.
    5. Choose Require re-register MFA.
    6. Choose Revoke sessions to force applications to authenticate again.

“Require re-register MFA” removes the existing phone and Authenticator registrations so that new methods can be configured at the next sign-in. “Revoke sessions” invalidates existing refresh tokens. The administrator must have at least the Authentication Administrator role.^1^

These actions must be completed separately for both business user accounts. If one address is actually a shared mailbox rather than a user account, tell the administrator; shared-mailbox access must be managed by that organization rather than by supplying a separate mailbox password.

    2. Complete browser sign-in before opening Outlook

After the administrator resets the methods:

    1. Close Classic Outlook.
    2. In a browser, sign in to the first business account with the temporary or new password.
    3. Follow the prompts to change a temporary password, if presented.
    4. Register an available verification method that you can actually use.
    5. Sign out, then repeat these steps for the second business account.
    6. Confirm that each account can open its mailbox in the browser.

Do not keep requesting SMS codes while the administrator is handling the reset. Repeated verification requests can cause a temporary block. If a block remains after the MFA reset, try another registered method or network and then stop attempting sign-in for at least 24 hours; Microsoft advises waiting longer—up to one week—if necessary.^2^

    3. Refresh Classic Outlook

Once both accounts work in the browser:

    1. Start Classic Outlook.
    2. When the password or Need Password prompt appears, select it.
    3. Sign in with the full business email address and the new password.
    4. Complete the newly registered verification method.
    5. Repeat for the other business account.
    6. Confirm that the Outlook status bar no longer shows a sign-in warning and run Send/Receive.

Outlook normally requests the updated password after it has been changed with the email provider.^3^

If Outlook still shows warnings even though browser sign-in works, send the administrator or support technician the exact warning text, with all email addresses and identifying information removed. That distinction is needed before choosing an Outlook profile or credential repair procedure.

Your Microsoft 365 Personal subscription does not give you authority to reset the business organization’s MFA settings. The organization’s administrator must recover the business identities.

Also remove the street address and telephone number from any public support post; they are not needed for account recovery.
