Additional chat-related features and issues within Microsoft Teams for business
Dear Katrina McDougall,
If you would like to chat in Microsoft Teams with someone outside your organization. Please follow these steps below.
- Open Microsoft Teams and select Chat on the left side.
- Select New chat.
- In the To field, enter the person's full email address. If their name appears in the list, select it. If it does not, type the complete email address and check the results.
- Type your message in the text box at the bottom and select Send.
Note:
- If the person uses Teams or Teams Free, they can receive your message. If they use Teams Free, they must accept your chat invitation first.
- If they don't have a Teams account, they will receive an invitation by email to create an unmanaged Teams account. The invitation shows your email address.
- If the chat can't be started, your organization's admin may have restricted or blocked external access for that person's domain. This can also happen if the other organization has restricted communication with yours.
- External participants can send messages, use emoji and GIFs, and use @mentions. They can't share files or use tabs or apps in the chat.
- If you need to share files or work together in a shared space, your admin can add the person as a guest in a team.
If you’re unsure who the Global Admin is within your organization, you can find guidance on locating them here: How do I find my Microsoft 365 admin?
