Setting up future meetings with participants using Teams calendar or Outlook integration
Create a Personal Bookings (Bookings with me) page, configure your availability, and share its link so others can choose an open time that is automatically added to your Outlook calendar.
Create your scheduling page
- Open Microsoft Bookings and sign in with your Microsoft 365 account.
Alternatively, add the Bookings app to the left navigation rail in Outlook or Teams. - On the Bookings home page, select Personal booking page.
- Edit one of the default 15-minute or 30-minute meeting types, or create a new meeting type.
- Configure the appointment:
- Name and duration
- Your available days and times
- Scheduling and reminder options
- Whether it is Public or Private
- Save the meeting type. Only meeting types marked Public appear on your main booking page.^1^
Copy and share the link
Select Personal booking page, then select the copy button beside the page heading. You can then:
- Paste the link into an Outlook email or Teams chat.
- Select Share via email in Bookings.
- Add the link to your Outlook email signature.
- Select the Share icon on a specific meeting type to share only that appointment type.^2^
For a restricted appointment:
- Use a Private meeting type and share its individual link.
- If the link should work for only one appointment, create a single-use link for that private meeting type.
When someone opens the link, they select an appointment type and an available time, enter their details, and confirm. Both parties receive confirmation, and the appointment is automatically placed on your Outlook calendar. Attendees do not need a Microsoft account or Bookings license.^1^
If Personal Bookings is unavailable
The organizer needs a Microsoft 365 license that includes Bookings.^1^ If Bookings or Personal booking page does not appear after signing in, ask your Microsoft 365 administrator whether Bookings is included and enabled for your account.
Publishing an Outlook calendar is not an equivalent substitute: its HTML and ICS links allow people to view or subscribe to a calendar, but they do not provide a self-service appointment-booking page.^3^
