Sending, receiving, and organizing email in Outlook on the web for business
Check Outlook on the web for messages redirected by filters, rules, or forwarding, then have your Microsoft 365 administrator run a message trace if a test email still does not arrive.
Check the mailbox
- Ask someone to send a new test message to your work address. Record:
- Sender’s address
- Approximate sending time
- Whether the sender receives a non-delivery report
- In Outlook on the web:
- Check Focused, Other, Junk Email, Deleted Items, Archive, and any custom folders.
- Select Filter → Sort → Date so the newest messages appear first.
- Search for the test sender’s address.
- Open Settings → Mail → Rules. Temporarily disable any rule that moves, deletes, or redirects incoming messages.
- Open Settings → Mail → Forwarding. If forwarding is unexpectedly enabled, disable it and select Save.^1^
If the test message appears in Outlook on the web but not in the desktop application, the mailbox is receiving mail and the problem is local to the desktop client. Microsoft recommends using Outlook on the web to distinguish an application problem from a mailbox or mail-flow problem.^2^
If the message does not appear anywhere
Contact your company’s IT or Microsoft 365 administrator and provide the test message details. Ask the administrator to:
- Go to Microsoft 365 admin center → Service health → View the service health and check for an Exchange Online incident.
- If no incident is listed, open Exchange admin center → Mail flow → Message trace.
- Set the date range around the test, add its sender and your work address as the recipient, and select Search.
- Open the result and review Status, Details, and How to fix it.
Message trace shows whether Exchange Online received, rejected, deferred, or delivered the message. A Delivered result indicates that the administrator should then investigate mailbox rules, filtering, or other mailbox-side handling; a rejected or filtered result provides the relevant delivery details.^2^
Because this is a company-managed address, only your organization’s administrator can inspect service health, delivery traces, licensing, and organization-level mail-flow policies.
