Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Deleting messages does not reduce the displayed quota until they are permanently removed from Deleted Items, and the percentage reflects storage size—not the number of messages deleted.^1^
This public forum cannot access your account, billing records, or current storage amount, but you can verify and correct it as follows.
1. Permanently clear the deleted mail
Warning: Permanent deletion may be irreversible. Review or export anything you might need before continuing.
- Open Outlook.com.
- Select Settings → Account → Storage.
- Review the folder breakdown to identify what is consuming space.
- Open Deleted Items, review its contents, and empty it.
- Return to Settings → Account → Storage and refresh the page.
Messages moved to Deleted Items still count against the mailbox quota. Large attachments matter much more than message count, so deleting 2,000 small messages may produce only a modest reduction. Sort mail using Filter → Sort by → Size, then remove unneeded messages with large attachments. Also check Sent Items, because sent attachments consume storage.^1^
2. Check both storage measurements
Outlook mailbox storage and Microsoft cloud storage are different:
- Mailbox storage includes email, attachments, calendar items, contacts, and deleted messages.
- Cloud storage includes OneDrive files, its Recycle Bin, Outlook.com attachments and inline images, and certain other Microsoft app content. Outlook attachments can count toward both measurements.^2^
Open the Microsoft storage area of your account dashboard and compare:
- Outlook/mailbox usage
- OneDrive/cloud usage
- The quota assigned to the account
If OneDrive is the full category, review Manage your OneDrive storage and its Recycle Bin. Again, permanently emptying the Recycle Bin can make files unrecoverable.^3^
After permanent deletion, the displayed amount may not update immediately. A closely matching Microsoft Q&A case reports that refreshed mailbox storage can take up to 48 hours to appear.^4^
3. Verify the paid subscription and Copilot entitlement
Sign in at Microsoft account subscriptions using the same Microsoft account used for the automatic payment. Confirm:
- The subscription status is active.
- The listed plan is a qualifying Microsoft 365 plan.
- You are the subscription owner, not only a person with whom a Family or Premium plan was shared.
Copilot in Microsoft 365 requires a qualifying Microsoft 365 subscription, and Copilot in desktop apps is limited to the subscription owner.^5^
The payment amount alone does not establish which plan or Microsoft account holds the entitlement. If the subscription was purchased through Apple, Google, Amazon, or another retailer, its billing must be managed through that provider.[^6^](https://support.microsoft.com/accounts-billing/subscriptions/[Subscription ID] "Where can I manage my Microsoft 365 subscription? | Microsoft Support")
4. Isolate the Copilot problem
Once the quota and subscription display correctly:
- Sign into Word or Excel with the same Microsoft account and check whether Copilot appears.
- Check Copilot in Outlook on the web.
- If Copilot works elsewhere but not in Outlook, the issue is specific to the Outlook client.
- Only if you use Classic Outlook on Windows: close Office apps, open Control Panel → Programs and Features → Microsoft 365 → Change → Quick Repair, then restart Outlook. If needed, run Online Repair from the same location.^7^
If storage still shows 86% more than 48 hours after permanent deletion, or the paid subscription is missing from the correct account, use Contact Microsoft Support. Provide screenshots of Account → Storage and the subscription page, but conceal your email address, payment details, and other personal information.[^8^](https://support.microsoft.com/accounts-billing/subscriptions/[Subscription ID] "Problems renewing a Microsoft 365 subscription | Microsoft Support")
