Managing meetings and events using Outlook on the web for business
Dear Joe,
The behavior you're seeing is expected. The Join button only appears on the calendar event where the Teams meeting was created, and on invitations sent from that event. Pasting a Teams link into another event adds a clickable link but doesn't connect that event to the meeting. That's also why turning on the Teams toggle creates a new meeting with a different link.
To make the Join button appear for everyone, I suggest the following:
- One invitation for everyone: Have the organization that books the room create the Teams meeting and invite all attendees, including the other organization. Everyone who receives that invitation will see the Join button.
- If separate invitations are required: Keep the Teams toggle off on the second event and paste the original link into both the description and the Location field. Attendees won't see a Join button, but they can join from the link in the same meeting.
I hope this information helps clarify the situation and provides you with workable solutions. Should you have any further questions or need additional assistance, please don't hesitate to reach out. I'm always happy to help. Have a wonderful day!
