A Microsoft file hosting and synchronization service.
This usually means OneDrive is not using the same Microsoft account as the Microsoft 365 Personal subscription shown in the screenshot, or OneDrive has not refreshed the account storage status correctly.
The screenshots show:
- the Microsoft 365 subscription has 1 TB available and shows almost no storage used
- the OneDrive app is showing Not enough cloud storage
- downloaded files have a red X, which indicates sync is failing
A likely cause is that OneDrive is signed in with a different Microsoft account. Microsoft notes that this can happen if there is another Microsoft account associated with the device.
Try this in order:
- Check which account OneDrive is using
- Select the OneDrive cloud icon in the taskbar.
- Open Settings.
- Go to Account.
- Confirm the signed-in account matches the Microsoft account that has the Microsoft 365 Personal subscription.
- If the account is wrong, sign in with the correct one
- In OneDrive > Settings > Account, sign out or unlink the current account.
- Sign back in with the same Microsoft account that shows the active 1 TB subscription.
- This often forces OneDrive to refresh the storage quota.
- Check Microsoft storage, not just OneDrive files
Microsoft cloud storage now includes more than OneDrive files. It can also include:
- Outlook.com attachments and inline images
- Microsoft Teams message attachments and recordings
- Loop meeting notes and Ideas files
- Designer project images
- Items in the Recycle Bin
- Open the Microsoft storage dashboard
- Check the Microsoft storage area of the account dashboard.
- Verify whether storage is being used by another Microsoft service tied to the same personal account.
- If local disk space is also low, free local copies
If files are stored locally on the PC, they can take up disk space even though they are in OneDrive.
- In File Explorer, right-click files or folders in OneDrive.
- Select Free up space. This keeps the files in OneDrive online and removes the local copy from the PC.
- If OneDrive still shows full after confirming the correct account If the account is correct and the dashboard still shows almost no usage, sign out of OneDrive and sign back in again to refresh the sync app state.
What the red X means in this case:
- OneDrive is failing to sync because it believes the cloud storage quota has been exceeded.
- When Microsoft storage is exceeded, OneDrive cannot upload, edit, or sync new files.
If the warning was sent by mistake, Microsoft also notes there may be another Microsoft account on the device, so checking for a second personal account is important.
