How can I have my Spanish VAT (IVA) number added to my invoice for MS365? I have a valid VAT no. Who do I need to contact, I'm going round in circles here - any ideas?

Hi @Caroline Lewis

The steps provided in the AI response are accurate and align with Microsoft's documentation for both MCA and MOSA billing accounts so please give it a check.

The VAT ID can be added in the Microsoft 365 admin center if the billing account and region support self-service tax ID management. Once the VAT ID has been added and validated, it will be reflected on future invoices. However, if an invoice has already been generated without the VAT ID, Microsoft generally does not support modifying that existing invoice to add the tax number afterward.

Additionally, for customers in Spain, the VAT number must be entered in a valid Spanish VAT format and be verifiable where applicable. Customers should also ensure they have the appropriate billing role before attempting to make changes:

  • MCA billing account: Billing Account Owner or Billing Account Contributor.
  • MOSA billing account: Billing Administrator.

If the Add tax ID option is not available, it may indicate that self-service tax ID management is not supported for that billing account or region. In that case, the customer should contact Microsoft Billing Support in Admin Center for further assistance.

For Microsoft 365 for business, the VAT or other tax ID must be added in the Microsoft 365 admin center, and it should be added before purchase so it appears on the invoice. After an invoice is already generated, the tax ID generally can’t be added or modified on that existing invoice.

If the subscription uses a Microsoft Customer Agreement (MCA) billing account:

  1. Go to the Microsoft 365 admin center.
  2. Select Billing > Billing accounts.
  3. Select the billing account.
  4. Select Add tax ID.
  5. Enter the VAT ID and select Save.

If the subscription uses a Microsoft Online Services Agreement (MOSA) billing account:

  1. Go to the Microsoft 365 admin center.
  2. Open Billing.
    • In Simplified view, select Billing.
    • In Dashboard view, go to Billing > Your products.
  3. Select the subscription.
  4. In Service usage address, select Edit service usage address.
  5. Enter the VAT number in VAT, GST, or PAN number.
  6. Select Save.

Important points:

  • The exact steps depend on the billing account type.
  • Not all regions support self-service tax ID management. If Add tax ID isn’t available, self-service isn’t supported for that billing account.
  • For Spain, the accepted VAT format is nine characters with country code ES, for example: X12345678, 12345678X, or X1234567X.
  • If the invoice was already issued without the VAT number, the documented guidance is that it can’t be changed afterward.

Before making changes, confirm the billing account type and ensure the required billing role:

  • MCA: Billing account owner or Billing account contributor
  • MOSA: Billing Administrator
