Collaborator Receives "Access Denied" After Being Added to Microsoft Bookings Staff Page

Hello,

I've experienced several issues with Microsoft Bookings, but my most recent issue involves collaborator access.

I invited a teammate as a collaborator to a Bookings page so she could help manage and support scheduling activities. The invitationappears to have been sent successfully, but when she attempts to access the Bookings page, she receives an "Access** **Denied" message andcannot view or manage the booking calendar.

A few details:

  • The teammate has previously set up and used Microsoft Bookings.
  • She is signed in with her organization's Microsoft 365 account.
  • She was added as a collaborator/staff member on the Bookings page.
  • Despite being added, she cannot access the page and receives an access error.

Has anyone encountered this issue before? Are there additional permissions, role settings, licensing requirements, or organization-levelconfigurations that need to be enabled for collaborators to access a Bookings page?

    Dear Jasmine,

    The most likely cause is that your teammate is being treated as a Guest rather than an internal user. Guests can be assigned to bookings but cannot open the booking mailbox, which produces exactly the access error you are describing.

    The roles available are Administrator, with full rights to configure and manage Bookings; Scheduler, who can manage bookings and customer details but has read-only access to settings, staff, and services; Team member, who manages bookings on their own calendar; Viewer, who can see bookings but not change them; and Guest. If your teammate is helping manage the page, Administrator or Scheduler is what she needs depending on how much control you want her to have. A few things to check:

    • When adding her, select Search Directory first and then pick her name. Several users have found that choosing the name directly from the initial dropdown adds the person as Guest with no option to change it, while going through Search Directory makes the other roles selectable.
    • Confirm she holds a license that includes Bookings. If the role field is locked to Guest, this is the usual reason, as Bookings only recognizes licensed internal users. Bookings is included with Office 365 A3, A5, E1, E3, E5, F1, F3, G1, G3, G5, and Microsoft 365 A3, A5, E1, E3, E5, F1, F3, Business Basic, Business Standard, Business Premium, Teams Essentials, and Teams Premium.
    • Confirm Outlook on the web is enabled for her account, as Bookings requires it.
    • Make sure she has accepted the membership invitation. If the email link is not working, she can accept from the Bookings homepage instead, where invited shared pages appear for her to select and accept.

    If she was originally added as a Guest and then upgraded, the earlier context can persist and continue blocking access. The workaround is to remove her from Staff, wait five to ten minutes, then add her again from the directory with the correct role. Having her sign out of all Microsoft services and back in with only that account helps too, and an InPrivate window is worth using for the retest.

    If she is correctly licensed, added from the directory with a non-Guest role, and still gets Access Denied, I recommend that the Global Admin in your organization create a service request with Microsoft Support. A technical support engineer can perform a remote session to investigate the situation, verify the backend configurations, and run any necessary synchronization tools to resolve the problem. If the issue requires further attention, they can escalate it to a specialized team for deeper analysis.
