Hi @Don Stockton,

Thank you very much for reaching out regarding the issue with your newly added Microsoft 365 email account on your domain. I appreciate your patience and the details you provided.
Here are my recommendations, please follow the steps below:

1/ Confirm the domain status in Microsoft 365

  • Sign in Microsoft 365 admin center with your admin account (If you're not an admin, please contact your organization's administrator to proceed) > Settings > Domains: the domain should show Healthy.
  • User's image
  • In Exchange admin center > Mail flow > Accepted domains: the domain should be Authoritative (not Internal Relay).
  • User's image

If it isn’t Authoritative, mail routing for the domain will fail.

2/ Review and correct DNS records at your DNS host

Please ensure these are present and correct (remove old/legacy records that point elsewhere):

MX

<the exact MX value from Admin Center> (e.g., yourdomain-com.mail.protection.outlook.com)

  • Set this as the only active MX (or at least the highest priority = lowest number such as 0 or 10).
  • Delete/disable any MX that points to your old provider.

SPF (TXT)

v=spf1 include:spf.protection.outlook.com -all

  • Keep one SPF TXT record.
  • If you send mail through other services (newsletters, CRM, helpdesk), add their includes before -all.
  • Avoid multiple SPF TXT records (it breaks SPF).

Autodiscover (CNAME)

autodiscover > autodiscover.outlook.com

Notes:

  • TTL: 300-600 seconds temporarily can speed up changes.
  • Propagation can take from minutes up to 24-48 hours. During this time, behavior may be inconsistent.
  • Optional (recommended after mail flow works): enable DKIM in Exchange admin for better deliverability.

3/ Make sure the mailbox is fully provisioned

  • In Microsoft 365 admin center > Users > Active users: confirm the user has an Exchange Online license assigned and the Mail tab shows the mailbox.
  • New mailboxes can take 15-60 minutes (sometimes longer) to fully provision after licensing.

Additionally, you can run quick send/receive tests to isolate where it fails. Please try these and note the results/time:

  • Internal > Internal (same tenant)
  • External > Your address (from Gmail/Outlook.com to your domain)
  • Your address > External

This will indicate whether inbound, outbound, or both directions are affected.

4/ Run a Message Trace (Exchange admin center)

  • Go to Exchange admin center > Mail flow > Message trace > Start a trace.
  • User's image
  • Search for the test messages above (use a 24‑hour range).
  • Check status (Delivered, Failed, Quarantined, Deferred) and any error details.
  • If messages are Quarantined, release them and review the policy that caught them.

5/ Review quarantine and security policies

  • In the security portal, check Email & collaboration > Review > Quarantine for blocked messages.
  • User's image
  • If messages are quarantined, review the reason and adjust the policy if needed.

6/ Contact Microsoft Support

If the issue persists even after these steps, it may stem from a deeper system-level cause. In this case, I recommend submitting a support request to Microsoft Support through the "Contact support" in the Microsoft 365 Admin Center. They’ll be able to access system-level information to investigate the issue thoroughly and provide assistance. At the very least, they can offer the most effective workaround to ensure your experience remains smooth and secure.

For a new Microsoft 365 email on a custom business domain that can’t send or receive, first confirm that the domain and DNS are fully set up and propagated, then check Outlook connectivity.

    1. Verify domain and DNS
    • In the Microsoft 365 admin center, go to Setup > Domains and check the domain’s Status.
    • If there’s an issue, select the three dots (More actions) next to the domain and choose Check health. Review and fix any issues reported.
    • Be aware of propagation timing:
      • The new domain configuration in Exchange Online can take up to about 1 hour to replicate.
      • The MX record for the domain can take up to 72 hours to propagate across global DNS. During this time, mail flow may be unreliable or fail.
    1. Wait for replication if just added
    • If the domain was added very recently and DNS records (especially MX) were just changed, allow time for:
      • Microsoft 365 to replicate the domain to all Exchange Online servers.
      • The MX record to replicate to external DNS servers.
    • Test again after this window, especially from an external sender (e.g., a personal email account) to the new address.
    1. Check Outlook connectivity and status
    • In Outlook (classic), look at the status bar:
      • If it shows Disconnected, Working Offline, or Trying to connect…, Outlook is not connected to the server.
    • To toggle back online:
      • Go to the Send/Receive tab.
      • In the Preferences group, select Work Offline once to switch back to online mode.
      • Then select Send/Receive to retry.
    • Confirm the device has Internet access by opening a browser and visiting a site such as http://www.microsoft.com or http://www.bing.com.
    1. Use Microsoft’s troubleshooters (if using classic Outlook for Windows)
    • If Outlook is set up but still cannot send/receive, run the Classic Outlook troubleshooters described in the Outlook support article. These can detect profile, version, or configuration issues and attempt automatic repair.
    1. If issues persist
    • After DNS propagation and domain health checks are clean, and Outlook is online but errors continue, contact Microsoft 365 support from the admin center:
      • In the admin center, select Help & Support, describe the issue, and then choose Contact support if needed.
