How to recover a company account as an admin who lost access to the authenticator app?

My device got problems and I needed to reset everything stored in the device including the authenticator app of Microsoft. Therefore, I lost my access to the company account as an admin because I cannot reach the authenticator app to approve my sign-in or get a code (I still have the password and the alternate mail at my disposal but the only thing I can do is to reset the password, meaning that I still cannot sign in without the codes from the authenticator app). What could I do? Please help me! Many thanks!

    Dear @Vũ Hoàng,

    Welcome to Microsoft Q&A.

I’m sorry you’re dealing with this after resetting your device and losing the Microsoft Authenticator app. I also saw your question about “what to prepare in advance” Here are the next things you need to do.

Because you’re the sole admin and can’t pass MFA, self‑service recovery isn’t possible. Recovery must be handled by Microsoft Support and the Data Protection (DP) team after they verify tenant ownership; community moderators can’t reset MFA or access backend systems.

Please try to find the related hotline number to call the frontline let them raise a ticket for you: Customer service phone numbers - Microsoft Support

In some countries, this is an automated conversation: First, when you call the hotline, they will ask you what kind of problem you are struggling with.

    Answer: Authenticator.

A: What products do you use?

    B: Office 365 for business.

    Verification: Education or company account?

    B: For companies

    A: Are you an administrator?

    B: Yes.

A: Are there any other administrators in your organization?

    B: No.

A: I need one.... Service request?

    B: Yes

If your organization's Office 365 Business/Education subscription is from a partner or reseller, and the global administrator is unable to open a service request on your end, contact the reseller's support provider to help open a service request on behalf of you instead.

If you still cannot reach to agent, there is still a workaround, you might consider registering for a new tenant by signing up for a trial subscription via this link Compare All Microsoft 365 Plans | Microsoft. This would allow you to create a new tenant following the provided prompts. Once set up, you can access the admin console of the new tenant and submit a support ticket requesting to speak with the Data Protection team on behalf of your previous tenant.

Please remember to cancel the trial subscription once your issue is resolved to avoid any unintended charges.

Have the following ready so DP can verify ownership and progress the unlock:

    1. Tenant & account identifiers: Your tenant domain (e.g., contoso.onmicrosoft.com / custom domain), and the Global Admin UPN that’s locked out. Include a brief timeline of what changed (device reset, Authenticator lost) and the exact sign‑in prompt/error you now see.
    2. Proof of ownership: Be ready to add a temporary DNS TXT record on your custom domain if asked and provide billing evidence (recent Microsoft 365 invoices or subscription details) and business registration documents that match the tenant. These are standard artifacts DP uses to prove control of the organization.
    3. Direct contact details: A phone number (with country code) and an alternate email address that are outside the locked tenant, so the engineer can reach you during verification. Share these only in the private SR channel (not publicly).

Once DP verifies ownership, they’ll assist with restoring administrative access (for example, by resetting sign‑in methods or enabling a secure path back in). After recovery, please create at least two “break‑glass” emergency admin accounts and set up alternative MFA methods (e.g., security key, Temporary Access Pass) so a single device loss can’t lock you out again.

I hope this information helps point you in the right direction. If you run into any issues while trying the steps, or if something still doesn’t feel quite right, please don’t hesitate to reach out again. I’ll do my best to support you however I can.

Looking forward to hearing back from you with any updates or additional details.

    Warm regards,

To recover access to your company account as an admin after losing access to the Microsoft Authenticator app, you can follow these steps:

    1. Contact Microsoft Data Protection Support by Phone: Since you are the only admin, reach out to Microsoft’s Global Customer Service. Explain your situation and request to speak to an agent who can assist you with resetting your authentication method. You can find the customer service phone numbers for your region on the Microsoft support page.
    2. Use a Temporary Account (Trial Tenant): If you are unable to reach a live agent, consider creating a trial Microsoft 365 tenant. This will allow you to sign in to the Admin Center and submit a support ticket requesting to speak with the Data Protection team on behalf of your original account.
    3. Prepare Your Information: When contacting support, have all necessary details ready, such as your email, phone number, and any other relevant account information to verify your identity.

These steps should help you regain access to your account and reset your Multi-Factor Authentication settings.
