Thank you for sharing your concern regarding recurring meeting room bookings. I understand how challenging it can be to schedule long-term series when room availability varies.
Currently, Microsoft 365 and Exchange handle recurring bookings by checking availability for all instances in the series. If any single occurrence conflicts with an existing booking, the entire series is declined. This behavior is by design to avoid partial bookings that could lead to confusion.
At present, there is no native option to automatically accept available instances while declining only those that conflict. However, you can achieve this outcome by adjusting the configuration:
Non-conflicting instances will be accepted automatically, while conflicting ones will be declined and generate notifications for the affected dates.
This can be implemented by updating the room mailbox settings using two parameters:
- ConflictPercentageAllowed - sets the percentage of allowed conflicts in a recurring series.
- MaximumConflictInstances - sets the maximum number of conflicting occurrences allowed.
For example, if you set ConflictPercentageAllowed = 40 and MaximumConflictInstances = 3, a 10-meeting series with 2 conflicts will be accepted, and only the two conflicting dates will be declined individually.
Your IT administrator can apply these settings via PowerShell with the following command:
Set-CalendarProcessing -Identity <RoomMailboxEmail> `
-AutomateProcessing AutoAccept `
-AllowConflicts $false `
-ConflictPercentageAllowed 40 `
-MaximumConflictInstances 3 `
This ensures the system accepts all available slots and only declines the ones that truly clash, giving you flexibility to reschedule those few instances without losing the entire series.

In case your IT administrator cannot access the necessary information or make the required changes, I recommend asking them to open a request with Microsoft’s higher-level support team through the Microsoft Admin Center. They have access to backend configurations and can perform a more in-depth investigation.
