- Select “Print” and choose “Save as PDF”, or select “Save” to download the email as a
.emlfile. This method is best for archiving a small number of important messages.
For Work/School Accounts (Microsoft 365 or Exchange Online):
Option 2: Use Outlook Desktop App (Recommended for Bulk Backup) If you have access to the Outlook desktop client:
- Open Classic Outlook and go to File > Open & Export > Import/Export.
- Choose Export to a file > Outlook Data File (.pst).
- Select the folders you want to back up and save the file. This method is ideal for backing up large volumes of emails efficiently.
Option 3: Organization Admins – Use eDiscovery If you're part of an organization and have admin privileges:
- Use Microsoft Purview or Exchange Admin Center to run an eDiscovery search.
- Export mailbox data to a
.pstfile. - You can also apply Litigation Hold to preserve deleted items. This is suitable for enterprise-level backups or compliance needs.
For Personal Accounts (like Outlook.com, Hotmail.com):
Option 4: Use Microsoft Privacy Dashboard For a full mailbox backup:
- Visit https://account.microsoft.com/privacy.
- Sign in with your personal Microsoft account.
- Go to “Download your data” and select Mail.
- Request an archive and wait for the download link via email. This method exports your mailbox in PST format, which can be opened in Outlook desktop.
