    Hi wendy godwin,

I understand how difficult this is to trace when some messages arrive normally while others appear to be missing, especially after you have already tried several suggested fixes.

Since the usual folder, rule, filter, and synchronization checks have already been covered, could you please confirm the following?

    • What type of email account is configured in Classic Outlook, such as Outlook.com/Hotmail, Microsoft 365, Gmail, or another provider?
    • Are the missing messages from the same sender or email domain, or does this happen with unrelated senders?
    • When you check the mailbox directly through its webmail page, are those same messages missing there as well?
    • Have any affected senders received a delivery failure or non-delivery report? If so, please ask them to share the error code or message, with personal information removed.
    • Is your mailbox or Microsoft cloud storage currently close to or at its limit?

If the messages are also absent from webmail, the issue is unlikely to be limited to Classic Outlook on the computer. In that case, asking one affected sender to send a new test message and provide any delivery report would help determine whether the message was rejected before reaching the mailbox.

Please share the results when convenient, particularly whether the missing messages appear in webmail and whether the sender receives an error. That information will help narrow down the appropriate next step.

For reference: Troubleshoot receiving email in Outlook.com Thank you so much for your understanding.

For Outlook for Windows, use this order of checks:

    1. Confirm whether the missing messages appear in Outlook.com or Outlook on the web.
      • If they appear there but not in classic Outlook, the issue is likely with the local Outlook cache or sync.
    2. In Outlook.com, check common places where mail may be hidden:
      • Junk Email
      • Deleted Items
      • Other tab if Focused Inbox is enabled
      • Filter settings and set sorting back to Filter > Sort > Date
      • Rules and Forwarding settings to make sure mail is not being moved elsewhere
      • Blocked senders and Safe senders under Junk Email settings
    3. Make sure Outlook is connected to the internet.
      • Open a browser and verify normal web access.
      • If there is no internet connectivity, Outlook may not receive all messages.
    4. If the messages exist online but do not appear in cached Outlook, clear the stuck incoming item processing state:
      • Exit Outlook.
      • Open Start > Run.
      • Run:
             Outlook.exe /cleanips

      • This is the documented fix when messages were synchronized from the mailbox but do not appear in the Cached mode Inbox.
    5. If /cleanips does not fix it, clear the offline Inbox items and force a resync.
      • Start Outlook.
      • Right-click Inbox > Properties.
      • On the General tab, select Clear Offline Items.
      • Select OK when prompted that data was removed from the Outlook data file (.ost).
      • Select OK again.
      • Select the Inbox in the Navigation Pane and press Shift+F9 to resynchronize the Inbox.
      • Risk: this removes the local cached copy of Inbox items from the .ost and then downloads them again from the mailbox.
    6. If specific senders are affected, ask one sender to send a test message and check whether they receive any non-delivery report.

If mail is missing in Outlook.com as well, focus on Junk, Deleted Items, Other, filters, rules, forwarding, and blocked senders. If mail appears in Outlook.com but not in classic Outlook, the Cached mode repair steps above are the most relevant.
