External User Unable to Join Microsoft Teams Meeting

I’m experiencing an issue where an external user is unable to join a Microsoft Teams meeting.

The external user receives the meeting invitation, but when they try to join the meeting, they are unable to access it.

I’ve already checked the meeting invitation, but the issue still persists.

For this scenario, the most common causes are Teams settings that block external or anonymous participants.

    Check these areas in order:

    1. Identify the exact error message the external user sees
      • “Sign in to join this meeting” usually means anonymous join is blocked.
      • “Sign in with a different account to join this meeting” usually means the invited account does not match, or external access settings are blocking the user’s organization.
    2. Verify anonymous join settings
      • In the organization meeting settings, make sure Anonymous users can join a meeting is enabled if external users need to join without a Teams work or school account.
      • Also check the meeting policy assigned to the meeting organizer. Even if anonymous join is enabled organization-wide, the organizer’s meeting policy can still block anonymous users.
    3. Verify external access settings
      • In Teams external access, make sure the external participant’s domain isn’t blocked or is explicitly allowed.
      • If anonymous join is disabled, the external participant must join as an authenticated user, so domain allow/block settings become critical.
      • If the external user belongs to another organization, that organization must also allow the meeting organizer’s domain. If their organization blocks the organizer’s domain, they may be unable to join as an authenticated user.
    4. Verify guest access
      • Turn on guest access in Teams if guest participation is required.
      • In the Microsoft Teams admin center, go to Settings and policies > Guest access and set Allow guest access in Teams to On.
    5. Confirm the attendee is joining with the correct account
      • If the message says “Sign in with a different account to join this meeting”, the attendee should sign in with the same account that received the invitation.
      • If they were invited as a guest in another organization, they may need to sign in to that guest account and switch to the correct org before joining from Calendar.
    6. If the user is joining from a browser
      • Teams meetings are not supported in mobile web browsers. If joining from a phone or tablet, use the Teams mobile app instead.
      • If email verification is prompted, complete the one-time passcode flow and then select Join now.

If the goal is to allow all external participants to join meetings, the supported configuration is:

    • Enable anonymous join in organization meeting settings.
    • Enable anonymous join in the meeting policies assigned to organizers who should allow it.
    • In external access, select Allow all external domains.
    • Turn on guest access.

If the external user still cannot join after these checks, ask for the exact join error text. That message directly maps to the blocking setting.

    Hi,

I understand the external user still cannot join after you checked the invitation.

As the forum’s AI recommended, please start with the exact error message. Could you share what appears when they try to join, whether they are using the Teams app or a browser, and whether they are signed in with a work/school account? Please also confirm whether other external attendees can join the same meeting.

In the meantime, check the situation that applies:

    1. If they are waiting in the lobby, the organizer should enter the meeting and admit them. If the message says the meeting is locked, the organizer needs to unlock it before they retry. On a phone or tablet, use the Teams mobile app because joining through mobile web browsers is not supported.
    2. If they see “Sign in to join this meeting,” ask them to sign in with their Teams work/school account. If joining without an account is required, your IT admin should review the organization’s anonymous join setting and the meeting policy assigned to the organizer. In Teams admin center, these are under Meetings > Meeting settings and Meetings > Meeting policies > the organizer’s assigned policy > Meeting join & lobby. See Manage anonymous meeting access. Policy changes can take up to 24 hours.
    3. If they see “Sign in with a different account to join this meeting,” check that they are using the invited account. This message can also occur when external access is restricted and anonymous join is disabled. Both organizations’ admins should check the relevant domain permissions and user-level external access policies. See Errors when external participants try to join a Teams meeting.

If those checks do not explain the issue, the attendee’s IT admin should also review their assigned meeting policy’s “People can join external meetings hosted by” setting. Microsoft documents this separate restriction in Manage access to external meetings.

These checks do not require enabling every external access option. The appropriate change depends on how the attendee is joining and which restriction applies. Let me know how it goes after trying these steps.

Are you a user on business license? Check with your organization IT, make sure the entire tenant allows collaboration with external user.

As for now, external user can also join the meeting without signing in via the web browser.
