A family of Microsoft products that enable users to capture, organize, and reuse notes electronically.
Personal Microsoft accounts and Microsoft 365 work or school accounts cannot be merged, but they can be used side by side.
To keep access to OneNote content stored under the personal Microsoft account, change the sign-in email on that personal account by adding a new alias and then making it the primary alias:
- Sign in to Edit account info.
- Select Add email.
- Add the new email address.
- After it is added, go to Manage how you sign in and select Make primary for the new address.
- If no longer needed, remove the old address.
Important details:
- Aliases use the same Microsoft account, contacts, subscriptions, storage, and settings.
- Any alias can be used to sign in to Microsoft services.
- Verification codes sent by email can only be sent to the primary alias or another email added as a way to verify sign-in.
- An organization may restrict adding its email addresses.
For OneNote access, the notebook appears only when signed in to the account that contains that notebook. In OneNote for Windows 10, go to Settings and More > Settings > Accounts to verify the correct account is listed, or use Add account to add another account. If an old account should no longer be used in OneNote, select it and choose Sign Out.
If sign-in to the personal Microsoft account is currently blocked because the old email is disabled, use the Sign-in Helper to identify the account issue and the next recovery step. If the account involved is actually a work, school, or Entra ID account, password and access changes must be handled by the organization’s IT admin.
