Additional meeting and call-related features and issues within Microsoft Teams for business
Dear @Emma Thomas
I understand the expected setup: organizers and presenters should be able to prepare together in a green room, while attendees wait separately and then enter the webinar once you start it.
For a Teams webinar, I recommend checking the following settings:
- Enable the Green room
- Open the webinar from Teams Calendar > View event > Meeting options.
- Make sure Enable Green room is turned on.
- Under Roles, set Who can present to Specific people or Only organizers and co-organizers, and make sure all presenters are added correctly.
- Use “Manage what attendees see”
- In Meeting options > Engagement, turn on Manage what attendees see.
- This prevents attendees from using their microphones and cameras by default and allows the organizers/presenters to control what is shown to attendees.
- Check the attendee lobby setting
- If you want registered attendees to enter automatically after the webinar starts, go to Meeting options > Meeting access and enable Attendees with a registration link can bypass the lobby.
- Otherwise, attendees will remain in the lobby until an organizer, co-organizer, or presenter admits them. Please refeể to this document: Manage webinar registration in Microsoft Teams
- How the green room should work
- Before the event starts, organizers and presenters should join the green room.
- Attendees should remain in the waiting/lobby experience and should not be able to see or hear what is happening in the green room.
- From the green room, organizers/presenters can test audio/video, prepare content, manage what attendees see, and start the event. Please refer to this document: Using the green room in Microsoft Teams
One important point: seeing a blank screen for attendees before the event starts can be expected. Microsoft states that attendees cannot see or hear what is happening in the green room.
If the presenters themselves were being placed in the lobby instead of the green room, I would first verify that they were added under Co-organizers and Presenters for the webinar and that they joined using the presenter/organizer account rather than the attendee registration link.
For a quick test, I recommend creating a test webinar with one organizer, one presenter, and one test attendee. Join the organizer and presenter first, confirm that both enter the green room, then join as the attendee and verify that the attendee remains separated until the event is started.
