Setting up future meetings with participants using Teams calendar or Outlook integration
For a 10+ person workshop, Teams breakout rooms support this easily. Breakout rooms can be created for meetings with up to 1,000 attendees, and up to 50 breakout rooms can be created.
Use the Teams desktop app.
- Schedule the meeting
- In Teams, go to Calendar.
- Create the meeting and send the invites first.
- Create breakout rooms before the meeting
- Open Calendar > select the meeting > View event.
- Select More options > Breakout rooms.
- Select Create rooms.
- Choose how many rooms are needed, then select Add rooms.
- Select Assign participants.
- Choose Automatic to split people across rooms, or Manual to place people yourself.
- Select Next > Save.
- Or create breakout rooms during the meeting
- In the meeting controls, select Rooms.
- Choose the number of rooms.
- Choose how participants will be assigned.
- Select Create rooms.
- Assign or adjust participants
- Select Rooms > Assign participants.
- Manually assign people to rooms, or use Shuffle to randomize them.
- Select Save.
- Manage room settings
- Select Rooms > Rooms settings.
- Set options such as room behavior and time limits.
- If a time limit is set, rooms close automatically when time expires and participants rejoin the main meeting.
- Start the breakout sessions
- Open the breakout rooms after the meeting starts.
Important limits and notes:
- Breakout rooms are available for meetings with up to 1,000 attendees.
- Up to 50 breakout rooms can be created.
- If breakout rooms are created, meeting capacity is limited to 1,000 attendees.
- Breakout rooms can’t be created in meetings that already have more than 1,000 attendees.
- Breakout rooms aren’t currently supported in town halls.
- Participants signed into Microsoft Teams (free) accounts can’t be added or assigned to breakout rooms.
If the workshop is a recurring meeting, room assignments can carry forward to future occurrences unless changed manually.
