Facilitator Enabled but Not Generating Meeting Notes or Recap

The past few meetings where Facilitator was enabled when the invite was created have not generated any notes. The pop-up indicating that Facilitator is active and taking notes appears as expected; however, no notes, recap, or meeting summary are generated during or after the meeting.

Could you please advise what may be causing this issue? I had not experienced any problems prior to last week.

Also, is this a known issue affecting other users? If so, is there an estimated timeframe for resolution, or are there any troubleshooting steps I can try in the meantime?

    Hi adota,

For your concern, I have checked the Microsoft 365 Service Health but as of now, there is no ongoing service degradation that affects Facilitator within Teams.

Based on your information, since Facilitator displays as active but produces no live notes, recap, or summary, the most likely causes I suspect would be due to transcription/meeting AI settings, licensing issue or a Loop/SharePoint storage issue.

As a practical test to narrow down the situation, please create a new testing meeting for about 15 minutes and test with this setup to see if the issue persists:

    • Schedule it directly in the Teams desktop calendar and invite one internal colleague of yours.
    • Do not select a Team/channel or apply any encryption/sensitivity label.
    • Under Meeting options > Copilot and other AI, set:
      • During and after the meeting
      • Facilitator: On
    • At the beginning of the meeting, manually start transcription.
    • Speak for at least five minutes, then open Notes during the meeting and check whether the Notes icon indicates AI-generated notes are active (it may take a few minutes)
    • In meeting chat, call the Facilitator summarize the discussion
    • After ending the meeting, open Chat > meeting chat > Recap and examine those:
      • Transcript
      • Notes
      • AI summary

Please understand that my initial response may not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

Thank you for your understanding and cooperation. I look forward to hearing from you.
