I recently purchased a new Windows 11 system w Office365. I am being charged $22.09 a month for Office basic on old system. Do I have to pay for both on each system? What is covered under $22.09 on my old system if I want to use as a backup?

    Hi, @Jill Payton

You do not need a separate Microsoft 365 subscription for each computer. Most Microsoft 365 subscriptions can be used on multiple devices.

    To clarify your situation:

    1. What exact subscription name is listed at https://account.microsoft.com/services for the $22.09 monthly charge?
    2. Are you using the same Microsoft account to activate Office on both computers?

Microsoft 365 Basic mainly covers 100 GB of OneDrive storage and additional Outlook benefits. It does not include the full desktop versions of Word, Excel, and PowerPoint.

Once the subscription is confirmed, I can clarify whether you need to keep paying for both.

You normally do not need separate Microsoft 365 subscriptions for the old and new PCs; identify the exact plan behind the $22.09 charge, then use one qualifying subscription on both computers and cancel any duplicate.

Check exactly what the $22.09 pays for

The amount alone does not identify the subscription, and “Office 365” supplied with the new PC might be a trial, a separate subscription, or merely preinstalled applications.

    1. Open the Microsoft account Services & subscriptions page: https://account.microsoft.com/services
    2. Sign in with the Microsoft account used on the old PC.
    3. Record the subscription’s:
      • Exact name—such as Microsoft 365 Basic, Personal, or Family
      • Next charge and renewal date
      • Billing frequency
      • Microsoft account associated with it
    4. Repeat this with any other Microsoft accounts used on either PC.
    5. Check Microsoft account Order history to match the $22.09 charge: https://account.microsoft.com/billing/orders

If a subscription does not appear, it may have been purchased through Apple, Google, Amazon, or another retailer and must be managed through that provider.[^1^](https://support.microsoft.com/accounts-billing/subscriptions/[Subscription ID] "Where can I manage my Microsoft 365 subscription? | Microsoft Support")

Whether one plan covers both computers

    • Microsoft 365 Personal or Family: Includes the desktop Office applications. They can be installed on all your devices, with Office signed in on up to five devices simultaneously.[^2^](https://support.microsoft.com/accounts-billing/subscriptions/[Subscription ID] "Office for home")
    • Microsoft 365 Basic: Provides web versions of Word, Excel, PowerPoint, Outlook, and OneNote rather than the full desktop applications.^3^

Therefore, if the $22.09 subscription is a qualifying Personal or Family plan, sign in to Office on both PCs with that subscription account:

    1. Open Word or Excel.
    2. Select File > Account.
    3. Select Sign in and use the account that owns the subscription.

Both computers can then remain activated within the five-device sign-in limit. You do not need to retain a second subscription merely because the old PC is being kept as a backup.

If the old plan is actually Basic, it does not license the installed desktop Office applications. Check whether the new PC has a separate Personal/Family subscription or another Office licence before cancelling anything.

If two paid subscriptions are listed

Keep the plan that provides the features and storage you require, then cancel the unnecessary one:

    1. In Services & subscriptions, select Manage beside the duplicate.
    2. Select Cancel or Turn off recurring billing.
    3. Complete the displayed prompts.
    4. If the page says Turn on recurring billing, renewal is already disabled and the subscription will expire on the displayed date.[^4^](https://support.microsoft.com/accounts-billing/subscriptions/[Subscription ID] "Microsoft 365")

Cancellation does not always produce a refund. Eligibility is shown during cancellation; if no refund is issued, access ordinarily continues through the current billing period.[^5^](https://support.microsoft.com/accounts-billing/subscriptions/[Subscription ID] "Microsoft subscription refund policy")

Keeping the Windows 10 PC as a backup

The PC can still be used, but Windows 10 support ended on October 14, 2025. Microsoft recommends moving to Windows 11; Microsoft 365 applications may continue running on Windows 10, with Microsoft 365 security updates continuing through October 10, 2028, but without new features or other support during that period.^6^

    For a safer backup arrangement:

    • Keep important documents synchronized or copied to OneDrive or another backup location.
    • Avoid relying on the unsupported Windows 10 PC as the only copy of files.
    • If using desktop Office there, activate it with the same qualifying Personal/Family account rather than maintaining a second subscription.

If the $22.09 charge remains unidentified after checking every account and retailer, use Microsoft’s billing-charge investigation process.^7^
