Sending, receiving, and organizing email in Outlook.com
Hi, Gio Conti
First, when you pick Exchange in Mail, a small window may ask whether you want to Configure Manually or Sign In. Choose Sign In so the Microsoft sign-in page opens. Outlook.com and Microsoft 365 accounts don't accept a plain password from mail apps anymore. That's why the "Other Mail Account" (IMAP/POP) option usually keeps failing.
If it's a personal Outlook.com or Hotmail account and you want to use IMAP, it has to be turned on first. Sign in at outlook.com and go to Settings > Mail > Forwarding and IMAP. Turn on Let devices and apps use IMAP, then click Save.
It's also recommended to add the account from System Settings > Internet Accounts instead of from inside Mail. If the account is already listed there from an earlier try, remove it and add it again so you get a fresh sign-in.
If this is a work or school account and you see a screen saying "Approval required" for Apple Internet Accounts, your IT admin has to approve the Apple app for your organization. Starting October 2026, the admin may also need to add Apple Internet Accounts to the organization's EWS allow list before Mac Mail can connect.
If none of this works, the free Outlook for Mac app from the Mac App Store is a solid backup, because it handles the Microsoft sign-in on its own.
Could you let us know whether this is a personal or work account and what error you see? That'll help narrow it down.
