Organizing and accessing contact information in Outlook.com
Disable Save Contacts, delete Outlook’s saved copies from the iPhone, and then re-enable Save Contacts to export a clean copy of the Outlook contact list.
Reset the iPhone contact copy
Before proceeding, verify that the complete, correct list appears in Outlook → Search → People or Outlook.com. The deletion below targets contacts exported by Outlook to the native iOS Contacts app; do not manually delete contacts from Outlook.
- Open Outlook for iOS.
- Tap the profile picture, then the Settings gear.
- Select the affected Outlook account.
- Turn Save Contacts off.
- Check the iPhone Contacts app. Outlook-exported contacts should be removed.
- If duplicates remain, return to Outlook and open: Settings → Help & Feedback → Delete All Saved Contacts.
- Tap Delete, then check the iPhone Contacts app again.
- In Outlook, return to: Settings → [your account] → Save Contacts, and turn it on.
- Follow any prompt to keep the iPhone awake and plugged into power while the initial export completes.
This is Microsoft’s documented procedure for duplicates that exist in iOS Contacts but not in Outlook itself.^1^
Prevent another duplicate export
- Keep Outlook open in the foreground during the initial export. iOS can suspend an incomplete contact export; accumulated synchronization errors can create duplicates.
- If Save Contacts is enabled on another iPhone or iPad for the same account, disable it there. Contact export should be enabled on only one device at a time.
- Allow up to 24 hours for Outlook’s reconciliation process. If contacts remain inconsistent afterward, restart Outlook; if that still fails, repeat the reset procedure above.^2^
On iOS, Outlook exports contacts to the native Contacts app; it is not a general two-way synchronization workflow. Add, edit, and delete the authoritative contacts in Outlook rather than in Apple Contacts.^2^
If the clean export does not start
Check the required iOS permissions:
- Open iPhone Settings → Apps → Outlook → Contacts.
- Set Contacts access to Full Access.
- Turn on Background App Refresh.
- Reopen Outlook and leave it active while contacts populate.^3^
If permissions are correct but export still fails, open Outlook → Settings → Accounts → [account] → Reset Account. If resetting does not work, Microsoft’s next fallback is Delete Account → Delete From This Device, followed by adding the account back to Outlook. Do this only after confirming the master contacts are present in Outlook.com or the mailbox, because removing the account clears its locally stored Outlook data from that device.^3^
