A Time Off entry should make that staff member unavailable on the booking page. If the guest user is still showing as bookable, use these checks:
- Verify the time off was added on the staff member’s working hours setup.
- In Bookings, open the employee’s Working hours.
- For a full day off, remove that day using the x next to the day.
- If this is a larger block such as vacation or multiple days, use the employee time-off scheduling option rather than only relying on normal working hours.
- Check whether the service itself is still available regardless of that staff member.
- In Services > the affected service > Availability Options, confirm it is set to Bookable when staff are free.
- If the service is assigned to multiple staff members, Bookings can still offer the time if another assigned staff member is available.
- If the user should not receive any bookings before 10/31, block the service for that date range.
- Open the service settings.
- Select Availability Options.
- Select Set availability for a different date range.
- Enter the period before 10/31.
- Select Not Bookable. This prevents bookings for that service during that period.
- If the service should stay active but this specific staff member should not appear publicly, hide the service temporarily if needed.
- In Microsoft Bookings > Services, open the service.
- Under Publishing options, turn the toggle Off. This hides the service from the booking page without deleting it or affecting existing bookings.
- If staff are confused by Time Off emails, that is expected.
- Recording Time Off in the Bookings web app triggers a notification email to staff members.
The most direct fix for the stated scenario is either:
- make sure the staff member’s time off is configured correctly so they appear unavailable, or
- set the service to Not Bookable for dates before 10/31 if no one should be bookable for that service before then.
