New Outlook workaround: Keep selected emails and bulk delete the rest

If you miss the old Outlook ability to flag emails you want to keep and then bulk delete everything else, here's a workaround I found in New Outlook:

Create a category called KEEP EMAIL.

Flag all emails you want to keep.

Filter the folder to show Flagged emails.

Select the first flagged email, hold Shift, then select the last flagged email to select the whole block.

Right-click and assign the KEEP EMAIL category to all selected emails.

Remove the Flagged filter.

Sort or group by Category.

Outlook will create a KEEP EMAIL group and a None group.

Click the None group heading. This selects all uncategorised emails in that group.

Press Delete.

Result: all unwanted emails are deleted in one operation while the emails you marked to keep remain untouched.

Works well when you receive a lot of newsletters, notifications and organisational emails that you don't want to block or unsubscribe from, but don't necessarily want to read individually.

    Hello Dipsofacto,

Thanks for sharing this detailed workaround. I can see why it suits your goal better than setting up rules or using Sweep for each sender: you can choose individual messages to keep across different senders.

Applying KEEP EMAIL separates those messages from the uncategorized group for your bulk deletion. One small qualification for others trying this: None contains only uncategorized messages, so unwanted emails that already have another category would need separate attention.

Microsoft’s category guidance covers applying categories to multiple messages. I appreciate you for explaining your approach and sharing the result; it may help others with the same workflow.

That workaround aligns with features available in Outlook, but the supported built-in approaches in New Outlook are:

    • Use Rules to move messages from specific senders into folders automatically.
      1. Right-click a message.
      2. Select Rules > Create rule.
      3. Choose the destination folder.
      4. Optionally select More options and Run this rule now in Inbox.
    • Use Sweep to move or clean up messages from a sender.
      1. Select a message.
      2. Select Sweep from the ribbon.
      3. Choose when and where messages from that sender should go.
      4. Select OK.
    • Use Ignore for conversation-based cleanup. Messages in that conversation are moved to Deleted Items, and future replies bypass the Inbox and go directly there.
    • Use Clean Up to remove redundant messages in long threads while keeping unread or unique messages.
    • For bulk selection in Outlook for Windows, selecting the first message and then holding Shift while selecting the last message selects the full range, which can then be deleted.
    • After deletion, messages remain in Deleted Items until that folder is emptied. To permanently remove them, right-click Deleted Items and select Empty Folder. This permanently deletes those items.

The category-based “keep these, delete the rest” method is not documented here as a built-in replacement feature. The closest supported alternatives are Rules, Sweep, Ignore, Clean Up, and range selection with Shift for bulk delete.
