Excel Data Keeps Disappearing Despite AutoSave Being ON — How Can I Stop This?

I am extremely frustrated because data in my Excel workbook keeps disappearing on its own. This has happened repeatedly, not just once or twice, and it is seriously affecting my work.

I use this workbook for important business information. Having to repeatedly check for missing data and re-enter information is completely unacceptable. I need to understand what is happening and how to stop it permanently.

The attached screenshot shows AutoSave switched ON and the workbook status displayed as “Saved.” Yet I keep finding that data I previously entered is missing.

To be clear, I do not yet know what triggers the disappearance. That is precisely what I need help investigating.

Could someone from Microsoft or the community help answer the following?

What could cause previously entered data to disappear from an Excel workbook without an intentional deletion?

How can I investigate whether this is a saving issue, a synchronisation issue, or another workbook-related problem?

Is there a way to identify when the missing data was changed or deleted, and what caused it?

What recovery options are available for the missing data?

What information or diagnostic logs should I provide to help identify the root cause?

Please provide specific troubleshooting steps rather than simply telling me to save the file or restart Excel. AutoSave is already enabled, and this problem keeps recurring.

The most basic requirement of a spreadsheet application is that it preserves the data entered into it. Right now, I cannot trust this workbook to retain my work, and I urgently need a reliable solution.

    Hello GMM Production 11 TP

I’m sorry you’re dealing with this, especially when the workbook contains important business information.

From the screenshot, the row numbers jump from 4 directly to 1796, and outline/grouping controls are visible on the left. This normally means that rows 5 through 1795 are hidden or collapsed, so the data may still be present.

    Please test the following first:

    1. Select the small outline level button or plus sign (+) near the upper-left side of the worksheet to expand the collapsed rows.
    2. Alternatively, select the row headers immediately above and below the missing section, right-select the selection, and choose Unhide.
    3. On the Data tab, select Clear in the Sort & Filter group to ensure that a filter is not hiding records.
    4. If the rows return, save a separate backup immediately by selecting File > Save a Copy and using a different filename.

If the information is genuinely missing, avoid repeatedly saving over the current workbook. If the file is stored in OneDrive or SharePoint, select the filename at the top of Excel and open Version History. Open a version from before the data disappeared and save it under a separate name before restoring anything.

You can also check File > Info > Manage Workbook > Recover Unsaved Workbooks for a recovered copy.

To narrow down why this keeps happening, please confirm:

    • Is the workbook stored in OneDrive, SharePoint, a local folder, or a network drive?
    • Is anyone else editing the workbook?
    • Does the problem affect only this workbook?
    • Are formulas, Power Query, macros, filters, or grouped rows used?
    • When the data disappears, are entire rows missing, or are individual cells becoming blank?
    • What Excel version and build are shown under File > Account > About Excel?

AutoSave showing “Saved” confirms that Excel saved the current workbook state, but it does not by itself prove that rows were deleted. Hidden rows, filters, simultaneous editing, synchronization conflicts, add-ins, or an interrupted save process should be investigated separately.

Feel free reply back to this post and update me on this issue, I'll be happy to help.
