2 one note accounts-How to merge data from one to the other?

A client has two different one note business accounts with different email addresses.

His work role changed and has a new emailaddress that is connected to One Note B.

He still can open the two One notes (A and B).

He needs to paste the data of A (one note files) into One note B

What are the options?

Change emailaddress of A into emailaddress B or otherwise?

Thx,

Ives

Hello Ives V,

I'm Shalom and I'd happily help you with your question. In this forum, we are Microsoft consumers just like yourself.

There are a few options you can consider:

Option 1: Share Notebooks

  1. Share Notebooks: If both OneNote accounts are accessible, you can share the notebooks from account A with the account B. This way, you won't have to move the data physically, but both accounts will have access to the same information.
  • Open OneNote A.
  • Right-click on the notebook you want to share.
  • Select "Share."
  • Enter the email address associated with OneNote B and grant the necessary permissions.
  1. Copy and Paste Content:
  • Open the notebook in OneNote A.
  • Select the sections or pages you want to copy.
  • Right-click and choose "Copy" or use the keyboard shortcut (Ctrl+C).
  • Open the notebook in OneNote B.
  • Right-click where you want to paste and choose "Paste" or use the keyboard shortcut (Ctrl+V).

Option 2: Export and Import

  1. Export from OneNote A:
  • Open the notebook in OneNote A.
  • Click on "File" > "Export."
  • Choose the notebook sections you want to export.
  • Save the exported file.
  1. Import to OneNote B:
  • Open the notebook in OneNote B.
  • Click on "File" > "Open" > "Import."
  • Select the file you exported from OneNote A.

Important Notes:

  • Always create backups before making significant changes to avoid data loss.
  • Depending on the size of the notebooks, the copy-paste method might take time.

Best Regards, Shalom

    @Shalom_409,

    Thx for the information.

    One extra question however-new topic:

Notebook A => account email [email protected]

Notebook B => account email [email protected]

If I create a section in Notebook A it automatically creates the same section in Notebook B

    How can I prevent this?

    Best Regards,

    Ives
