Teams Premium reports are very confusing and contain errors

I frequently conduct webinars using Teams Premium. I struggle with the registration and attendance reports I download because they are complex, the data is mixed and jumbled on the same sheet, and the Excel .csv file usually has errors and makes it impossible to view the data.

How can I obtain reports on a single Excel sheet with the data for each registration and attendance in a single data block?

    Hi @ISOLUCION Mercadeo,

Welcome to the Microsoft Q&A forum.

Thank you very much for sharing your experience regarding the registration and attendance reports from Teams Premium. I appreciate your patience and the details you provided.

I understand that working with CSV files that contain multiple sections on the same sheet, or require additional steps to align columns and apply the correct delimiter/encoding, can make it less convenient when you’re simply looking for a clear, consolidated view of who registered and who attended.

To clarify what’s happening, the Teams export intentionally includes multiple sections (e.g., Registration and Attendance) in a single CSV. Depending on regional settings and how Excel auto-detects the file (delimiter, decimal separators, and encoding), those sections can look “jumbled” when opened directly. This is a common behavior with CSVs that include multiple data blocks, and there are reliable ways to make them clean and analysis-ready.

Below are practical options so you get one Excel file with one clean data block per dataset (Registration vs. Attendance), ready for filtering, pivots, and summaries.

Option 1 - Open the CSV “the right way” in Excel

    1. In Excel, please go to Data > From Text/CSV and pick the report.
    2. In the import dialog:
      1. File origin/Encoding: select UTF‑8 (prevents character issues).
      2. Delimiter: choose Comma (,) or Semicolon (;) based on the preview (use the one that aligns the columns correctly).
      3. Data Type Detection: select Do not detect data types so IDs/phone numbers aren’t changed.
    3. Remove any repeated headers or spacer lines and keep two tidy tables: one for Registration and one for Attendance.
    4. Load each table to its own sheet (e.g., Registration_Clean and Attendance_Clean).
    5. Add a Summary sheet with simple pivots (e.g., conversion rate = unique attendees / unique registrants). (Optional)

If you must keep everything on a single sheet: place the Registration block starting at A1, leave two blank rows, then place the Attendance block below, and add a bold separator line (e.g., “=== REGISTRATION ===” / “=== ATTENDANCE ===”) so nothing gets mixed.

Option 2 - Power Query to automatically split and clean

This makes it one‑click to refresh for every new report. Please go to:

    1. Data > Get Data > From Text/CSV to load the file into Power Query.
    2. In the Power Query Editor, split the file into two queries by filtering around the labels/headers that mark the start of Registration and Attendance sections.
    3. Promote Headers for each query and standardize column names.
    4. Close & Load to Excel as two sheets (Registration, Attendance).
    5. Next time, just drop the new CSV in the same folder (same structure) and click Refresh All the workbook updates automatically.

Option 3 - Fully hands‑off with Power Automate

With Power Automate, you can set up an automated flow that triggers whenever a new CSV file is added to OneDrive or SharePoint.

At a high level, the flow reads the CSV using the correct delimiter, separates the content into Registration and Attendance based on section keywords, and writes each data group into an Excel Online workbook as its own table.

In case you require more in-depth guidance or support for these steps, I’d recommend posting your query in the Microsoft Power Automate Community. This is a dedicated channel for Power Automate discussions. The reason I suggest posting a new topic there is that in the general Q&A Forum, resources and expertise on Power Automate are limited. In the Microsoft Power Platform Community Forum, you’ll find the most qualified group of respondents, and other partners who regularly read the forums can share their knowledge or learn from your interaction.
