OneNote M365 crashes during predictive search (autocomplete) with notebooks on mapped network drives

Hi everyone,

I need some help with a issue affecting a user's daily workflow in OneNote.

The environment is Windows 11 running Microsoft 365 Apps for enterprise (Version 16.0.19929.20136, 64-bit). The user has their notebooks stored across 3 mapped network drives (SMB shares).

The user relies heavily on OneNote's predictive search feature. Their specific workflow is to type just 2 or 3 letters to see the real-time suggestions, which helps them quickly identify which notebook contains the information they need. Disabling instant search or autocomplete is not an option here, as it completely breaks how they work.

The issue is that lately, as soon as they type the second letter, OneNote freezes and crashes. This issue comes and goes, but we found a pattern: it works fine for a short while after rebuilding the Windows Index, but as soon as files are created or modified on those network drives, the crashes return.

This used to work perfectly fine in the past, but it started failing recently. I have already tried:

  • Rebuilding the Windows Search Index (only fixes it temporarily).
  • Disabling .one, .onex, .onepkg, and .onetoc from Windows Indexing file types.
  • Clearing the local OneNote cache.
  • Performing a full Online Repair of Office.

It seems like a recent Office update changed how the autocomplete engine queries raw binary .one files over SMB, making it extremely sensitive to network latency or file locks when changes occur on the shared drive.

Since migrating these notebooks to SharePoint or OneDrive is not an option right now due to company policies, how can I stabilize this environment? Is there a specific patch, an SMB configuration, or a way to make the autocomplete cache more resilient so it stops crashing OneNote when querying network files?

Any official guidance would be greatly appreciated. Thanks!

    Hello @Raul Sanz,

Since I noticed that you are communicating in English, I will also use English to keep our conversation clear and fluent.

Based on the information you provided, I did some research and came across an article that describes behavior very similar to what you are experiencing with OneNote. The issue appears to be related to a Windows update:

Windows Update KB5068861 Breaks SMB Remote Indexed Search — Forces Slow Directory Crawls (Confirmed…

We can’t guarantee the quality, safety, or suitability of any content or software found there. Please review carefully and make sure you understand any potential risks before using it.

From the findings, this update may cause systems to stop properly using indexed search over SMB shares. Instead, it falls back to slower file enumeration, which can impact applications that rely heavily on fast search responses such as OneNote’s autocomplete and predictive search features.

As a result, when OneNote attempts to query data stored on network drives, it may encounter delays, instability, or even crashes, especially when files are frequently modified.

Please check whether the update KB5068861 is installed on the user's system. If so, try uninstalling it, restart your computer, and then test again to see if the issue is resolved.

Feel free to let me know if there are any updates regarding this issue.
