External Member Email Group

I have a distribution list and added my external email address as a member.

However, when an email is sent to this distribution list, I do not receive it on my external email address. In the message trace, I also cannot see any email being sent to my external address.

When I check the distribution group members, I can see my name, but the email address is not displayed under the member entry.

Does anyone know why this might be happening?

    Hi @Handian Sudianto,

Based on the screenshot, the highlighted member shows only a display name, without an email address. Since Message trace also does not show a delivery attempt to the external address, the member may not be configured as a valid mail-enabled recipient.

This can occur when the Distribution List contains a directory object without the mail-routing attributes required by Exchange Online. For an external recipient, the member should normally be represented by a mail-enabled object, such as a Mail Contact or Mail User, with a valid external delivery address.

Therefore, this appears more likely to be a recipient object or group membership configuration issue than a downstream mail-flow issue.

I recommend checking the affected member in Exchange Online PowerShell:

Get-DistributionGroupMember -Identity "Distribution List Name" |
    Format-Table DisplayName,PrimarySmtpAddress,RecipientType,RecipientTypeDetails

Confirm that the affected entry has a valid PrimarySmtpAddress and is recognized as a mail-enabled recipient, such as a MailContact or MailUser. For details, see Get-DistributionGroupMember.

If the entry has no email address or is not mail-enabled, remove it from the Distribution List and create a Mail Contact for the external recipient. In the Exchange admin center, go to Recipients > Contacts > Add a mail contact, enter the external email address, and then add the newly created contact to the Distribution List. See Manage mail contacts in Exchange Online.

You can verify the external delivery address by running:

Get-MailContact -Identity "External Contact Name" |
    Format-List DisplayName,PrimarySmtpAddress,ExternalEmailAddress

After confirming that ExternalEmailAddress contains the correct address, send a new test message and check Message trace again. If the external recipient now appears in the trace, review the delivery status or SMTP response to determine whether any further mail-flow troubleshooting is required.

I hope this helps. Thank you for taking the time.

Create a mail contact for the external address and add that contact to the distribution list instead of the current display-name-only member.

The highlighted entry appears to be an account without a mail-enabled Exchange recipient address. Exchange Online distribution lists support MailContact and MailUser members, but not non-mail-enabled Microsoft Entra users.^1^

Replace the member in the Exchange admin center

    1. Open the Exchange admin center.
    2. Go to Recipients > Contacts.
    3. Select Add a mail contact.
    4. Enter:
      • Display name: the external recipient’s name
      • Alias: a unique alias
      • Email: the actual external email address
    5. Select Create.

A mail contact is an Exchange mail-enabled object representing someone outside the organization, and its external email address is the delivery destination.^2^

    Then:

    1. Go to Recipients > Groups > Distribution list.
    2. Open the affected distribution list and select Members.
    3. Remove the existing display-name-only entry.
    4. Add the newly created mail contact.
    5. Save the group.

Do not merely add the external address to the existing non-mail-enabled Entra account. The distribution-list member must be a supported mail-enabled recipient, such as a MailContact or MailUser.^3^

    Verify with Exchange Online PowerShell

After connecting to Exchange Online PowerShell, confirm that the contact has an external delivery address and that the group contains the correct recipient type:

    Get-MailContact -Identity "External User" |
        Format-List Name,DisplayName,ExternalEmailAddress

Get-DistributionGroupMember -Identity "Distribution List Name" |
        Format-Table Name,PrimarySmtpAddress,RecipientType

The first command should show the intended external address under ExternalEmailAddress. The second should show the member as MailContact, with an SMTP address rather than only a display name.^2^ ^1^

If preferred, add the verified mail contact to the group through PowerShell:

    Add-DistributionGroupMember `
        -Identity "Distribution List Name" `
        -Member "External User"

This requires appropriate Exchange recipient-management permissions.^3^

Send a new test message after saving the membership change. The expanded external recipient should then appear in message trace. If it still does not, inspect the group’s Settings for moderation or sender restrictions; those settings can prevent the original message from being accepted or distributed.^1^
