A family of Microsoft word processing software products for creating web, email, and print documents.
Replace each text/photo box with a Picture Content Control; pictures inserted through that control automatically adopt its preset height while retaining their proportions, so the resulting width can vary.
Set up each photo placeholder
- Open the premade document in desktop Word.
- If Developer is not visible:
- Select File > Options > Customize Ribbon.
- Under Main Tabs, select Developer, then OK.^1^
- Select the location currently used for the photo. Delete the existing empty text box if it is no longer needed.
- Select Developer > Picture Content Control.^2^
- Insert a temporary picture into the new control.
- Select that picture and enter the required Height under Picture Format > Size. Leave Lock aspect ratio enabled to avoid distortion.^3^
- Save the document—preferably as a Word template if it will be reused.
Users can then click the picture icon in the placeholder and choose an inspection photo. Word displays an inserted picture at the height configured for the control; its width varies according to the photograph’s aspect ratio.^4^
Keep users from removing the box
Select the control, then choose Developer > Properties and enable Content control cannot be deleted. Do not enable Contents cannot be edited, because that would prevent users from replacing the photograph. Word supports locking the control separately from locking its contents.^1^
Exact fixed width and height
A Picture Content Control does not automatically crop every photo into an exact fixed-width-and-height frame. With proportions preserved, portrait and landscape photographs can produce different widths.
If every frame must have identical dimensions:
- Select the inserted picture.
- Set the required Height and Width under Picture Format > Size.
- To avoid distortion, use Picture Format > Crop > Fill. This fills the frame while preserving proportions, but may crop edges of the photograph.^5^
- Reposition the image inside the crop frame if the important inspection detail is not centered.
That final Fill operation is manual; the documented Word controls do not provide an automatic “crop every newly selected photo to this exact rectangle” setting.
If Picture Content Control is unavailable, the document may be in an older Word format. Select File > Info > Convert, save it in the newer format, and then add the control.^6^
