Word Web App fails to open specific files for one user only, but works for other users and Desktop App

Hello,Screenshot (1246)

We are encountering a strange issue where a specific user cannot open certain Word files online via shared email links using the Word Web Application.

Here are the key facts regarding the environment and behavior:

  1. File Status: The files are healthy. Other users in the organization can open these exact same files online/web version without any errors.
  2. Desktop App: The affected user can open these files perfectly fine if they choose to open them in the Word Desktop Application.
  3. Isolation: It is not a machine or browser issue. We have already cleared browser caches, tried multiple different browsers, and even renamed/shortened the file names. The issue persists for this specific user account even when using an Incognito/InPrivate session.

Because the file opens fine for other colleagues on the web, it seems isolated to this specific user's cloud account profile, SharePoint/OneDrive session tokens, or unique account permissions.

Has anyone seen a profile-specific web rendering failure like this before? What backend Azure AD / M365 profile resets can we perform to fix this user's online document rendering?

    Hello Sandeep,

As a forum moderator, I am not able to review your tenant or this user's account settings to diagnose and fix this for you. My role here is limited to providing general guidance and solutions for users to implement themselves. The dialog in your screenshot shows that Word for the web isn't failing to load the file. It's handing the file off to Word for desktop. This usually happens because of how the user's email links are set to open, not because of a problem with the account profile, so a backend reset is unlikely to be needed. To confirm this, select Continue here in the dialog. If the document then opens in Word for the web, you can change the user's link preference. In classic Outlook for Windows, follow these steps:

    1. Go to File > Options > Advanced.
    2. Under File and browser preferences, set Open Word, Excel and PowerPoint files using Browser instead of Desktop app.
    3. Restart Outlook and test the original email link again.

You can also open the file from the SharePoint or OneDrive library, select the three dots menu, and choose Open > Open in browser. If the file opens there, the issue is limited to how the email link is handled.

If Continue here also fails, check the affected user’s effective SharePoint permission:

    1. Go to the SharePoint site.
    2. Select Settings > Site permissions > Advanced permissions settings > Check Permissions.
    3. Enter the affected user.
    4. Confirm whether access comes directly, through a Microsoft 365 group, or through a sharing link.
    5. Remove and recreate the affected sharing permission only if the result differs from a working user.

If the issue continues after these changes, I recommend that the Global Admin in your organization create a service request with Microsoft Support. A technical support engineer can perform a remote session to investigate the situation, verify the backend configurations, and run any necessary synchronization tools to resolve the problem. If the issue requires further attention, they can escalate it to a specialized team for deeper analysis. For detailed instructions on how to get support, please refer to Get support - Microsoft 365 admin. If you don't know who your IT administrator is, please refer to this article: How do I find my Microsoft 365 admin? - Microsoft Support

I hope this helps. Looking forward to your reply.
