Use Excel and Word stand alone.

I don't want to upgrade my software and want to continue using my old purchased versions of Excel and Word on my machine locally--without any cloud backup. How can I do that? Now when I try to close a window it does not give me the option to save!

    Hi, @Kenneth R Loose

To help narrow down the issue:

    1. Which versions of Word and Excel are currently installed? You can check this by opening the app and selecting “About Word” or “About Excel” from the application menu.
    2. Are your files currently saved in OneDrive, or are they stored locally on your Mac?
    3. When you make changes and close a document, does it close immediately without prompting you to save, or does a different message appear?

In the meantime, you can continue using a valid one-time-purchase version of Microsoft Office without upgrading to a Microsoft 365 subscription. You can also save and manage your documents entirely on your Mac without using OneDrive.

    To save files locally:

    • Open Word or Excel and select “File” > “Save As”.
    • Select “On My Mac”.
    • Choose a local folder, such as Documents, that is not synced with OneDrive.
    • Save your file there.

Also, check whether the “AutoSave” switch in the upper-left corner of Word or Excel is enabled. AutoSave works with files stored in OneDrive or SharePoint. You can turn it off and test whether the normal Save / Don't Save prompt returns when closing a locally saved document.

Please don't uninstall your existing Office applications yet. First, let's confirm which purchased versions you have installed and why the save prompt is missing.

    Thanks!

You can keep using a one-time-purchase version of Word and Excel on your Mac and save files locally, but the apps must be activated and—if you hold a perpetual license—installed directly from Microsoft rather than from the Mac App Store.

    1. Check the license and test local saving

    1. Open Word → About Microsoft Word and Excel → About Microsoft Excel.
    2. Confirm that each app shows Activated and identifies your purchased version.
    3. Create a new document and select File → Save or press Command+S.
    4. In the save dialog, choose a local folder such as Documents or Desktop, not OneDrive.
    5. Close and reopen the file to confirm the changes were written.

Office permits both subscription and non-subscription versions to save directly to the Mac; cloud storage is optional.^1^

A missing prompt when closing does not necessarily mean saving is unavailable. If Office considers the document unchanged or AutoSave has already saved it, no prompt is needed. For cloud files, AutoSave is enabled by default; on macOS, its default can be disabled under Word/Excel → Preferences → Save → clear “Turn on AutoSave by default.”^2^

    2. If Word or Excel is not activated

If both applications cannot save, activation or licensing is the first condition to resolve. Reduced-functionality mode can allow files to open while preventing creation, editing, or saving.^3^

If About Word/Excel does not show the purchased license:

    1. Sign in using the Microsoft account associated with the original purchase.
    2. Allow the Mac to connect to the internet for activation.
    3. Restart Word and Excel, then repeat the local save test.

One-time-purchase Office can operate offline after activation, but Office 2021 and Office 2024 require internet access initially and may require periodic reconnection to maintain activation.^4^

    3. If the apps came from the Mac App Store

This is a specific licensing mismatch to check. Mac App Store versions of Word and Excel require a Microsoft 365 subscription for document creation and editing; one-time-purchase licenses are compatible only with Office downloaded directly from Microsoft.^5^

If you see “Action Required: We’ve detected a one-time purchase license”, or know that the apps came from the App Store:

    1. Close all Office applications.
    2. Open Finder → Applications.
    3. Control-click Microsoft Word and Microsoft Excel, then select Move to Trash.
    4. Download the Microsoft installers matching your purchased version:
    5. Install them and activate using the account associated with the original purchase.
    6. Test saving to Documents or Desktop.

Removing the apps does not delete documents, but back up important local files before reinstalling.

    4. If activation is correct but saving still fails

Test whether the problem is limited to a particular file or folder:

    • Create a blank file and save it to Desktop.
    • For an existing document, select it in Finder, choose File → Get Info, and ensure Locked is not selected.
    • If files save to Desktop but not their original folder or external drive, check that location’s macOS write permissions.^6^

If unsaved work may already have been lost, open Finder, press Shift+Command+G, and inspect the AutoRecovery folders documented for Word and Excel. Do this before choosing Don’t Save, because that choice deletes the corresponding AutoRecover file.^7^

Older Office editions may continue working, but compatibility with newer macOS releases is not guaranteed after support ends. Microsoft currently lists Office 2019 and Office 2016 as no longer supported; supported Mac editions are designed for the three most recent macOS versions.^8^
