A family of Microsoft products that enable users to capture, organize, and reuse notes electronically.
Add the Microsoft account to Apple Mail on the new iPhone and enable Notes; if these are Outlook/Sticky Notes instead, install OneNote and sign in with the same Microsoft account.
If the notes appeared in Apple’s Notes app on the old iPhone
- On the new iPhone, open Settings → Apps → Mail → Mail Accounts.
- Select the existing Outlook/Microsoft 365 account. If it is not listed:
- Tap Add Account → Microsoft Exchange.
- Enter the same email address used on the old iPhone.
- Tap Next → Sign In, authenticate, and accept any requested permissions.
- On the services screen, turn on Notes, then tap Save. Microsoft documents this account setup path and the option to select services for synchronization.^1^
- Open Apple’s Notes app, tap Folders, and look under the Outlook account rather than under iCloud or On My iPhone.
A closely matched missing-notes case specifically identifies Settings → Mail → Accounts → Outlook account → Notes as the switch that controls whether those notes appear.^2^
Do not remove the account from the old iPhone until all notes are visible on the new one. Notes stored under On My iPhone are local and will not transfer by signing into Outlook; those require the old phone or a suitable backup.
If they are Sticky Notes from Outlook
The Outlook iOS app itself does not provide Outlook Notes. Microsoft directs mobile note-taking to OneNote, which can expose Sticky Notes stored in an Exchange Online mailbox.^3^
- Install Microsoft OneNote on the new iPhone.
- Sign in with exactly the same Microsoft account used for the notes.
- Open OneNote and tap Sticky Notes at the lower right.
Sticky Notes remain synchronized when the devices use the same Microsoft account.^4^
To confirm that the notes are stored in the mailbox before troubleshooting the phone:
- Sign in to Outlook.com or Outlook on the web.
- Open the Notes folder.
- Confirm the missing notes appear there. Mailbox Sticky Notes synchronize between Outlook on the web, Windows Sticky Notes, and OneNote for iOS.^5^
If OneNote reports that an Exchange Online mailbox is required, an on-premises Exchange mailbox is not supported for Sticky Notes synchronization; for a business account, the Microsoft 365 administrator must confirm that the account has an Exchange Online mailbox.^6^
If the notes exist only in classic Outlook
Notes shown by pressing Ctrl+5 in classic Outlook are not necessarily the same as OneNote notebooks or Apple Notes. If they do not appear in Outlook on the web’s Notes folder, the available information does not establish a direct bulk-transfer method to iPhone. The practical migration is to copy them into OneNote on the computer, then sign in to OneNote on the iPhone with the same account.^7^
