Using classic Outlook for Windows in business environments
Adding the distribution list and choosing Send updates only to added or deleted attendees will notify the list—including members already invited individually—so that option cannot exclude the overlapping members.
What recipients should expect
- Normally one update, not two: When Exchange expands a distribution list, it detects duplicate recipients; message tracking records this as
DUPLICATEEXPAND, and duplicate delivery to a mailbox is detected and removed by the information store.^1^ - The overlapping members will still be notified: Outlook targets the newly added distribution list as a recipient. It does not compare the list’s membership with the existing individual attendee entries when deciding who is “new.”
- Therefore, an existing attendee who is also in the list should ordinarily receive one meeting update through the list, rather than a second independent invitation. Duplicate delivery is not universally preventable in unusually nested distribution-group configurations.^2^
If overlapping members must not receive an update
Do not add the full distribution list to this existing meeting. Instead:
- Determine which list members are not already attendees.
- Open the meeting from Calendar in Classic Outlook.
- Add only those missing people to the Required or Optional field.
- Select Send Update.
- Choose Send updates only to added or deleted attendees.
Classic Outlook documents this option for attendee-list changes; attendees unaffected by the change are not sent the update.^3^
If the distribution-list address itself must appear on the meeting, Outlook does not provide a way to add that address, send an invitation to only some of its members, and suppress delivery to the overlapping members. The practical alternatives are:
- Create or use a separate distribution list containing only the missing attendees.
- Add the missing members individually.
- Accept that all current members of the newly added list will receive one update.
Also note that later additions to a distribution list do not automatically receive an invitation previously sent to that list; they must be sent the meeting separately or through a subsequent update.^4^
