Our Microsoft 365 Business Premium (Nonprofit Staff Pricing) Donation subscription is currently showing as disabled and is scheduled to be deleted soon.

We are a nonprofit organization and currently rely on Microsoft 365 for Word, Excel, PowerPoint, OneDrive, and SharePoint, including important organizational documents and records.

Please advise us on the appropriate next steps to ensure that:

We do not lose access to our emails, SharePoint files, OneDrive documents, or other organizational data.

Our existing users, email accounts, files, permissions, and SharePoint sites remain intact.

We can transition from the discontinued/disabled Business Premium Donation subscription to an appropriate Microsoft 365 nonprofit plan without disruption.

  1. Does this mean we need to purchase and assign new nonprofit licenses and which plan would be most appropriate because the current subscription is already showing as disabled.

    Hi Grace,

If your Microsoft 365 Business Premium (Nonprofit Staff Pricing) subscription is showing as Disabled and scheduled for deletion, you should obtain and assign replacement nonprofit licenses as soon as possible.

The good news is that your organization's users, mailboxes, email addresses, SharePoint sites, OneDrive files, Teams data, permissions, and Microsoft 365 tenant configuration are not tied to a specific license SKU. In most cases, if replacement licenses are assigned before the tenant reaches the final deletion stage, your existing environment remains intact and no data migration is required.

During the Disabled period, users can’t access Microsoft 365 services, and only admins can access and back up data. If you don’t reactivate while a subscription is expired or disabled, it is deleted. Microsoft’s published timeline is 30 days expired, then 90 days disabled, with permanent deletion of user accounts, email and documents after that

You can do the following steps:

    1. Sign in to the Microsoft 365 Admin Center
    • Go to Billing > Your products and review the status of the disabled subscription.
    • Verify whether there is a grace period remaining.
    1. Acquire a replacement nonprofit subscription: If your organization is still eligible for nonprofit licensing, obtain the appropriate nonprofit licenses through the Microsoft 365 Admin Center or your nonprofit licensing provider.
    2. Choose the appropriate plan
      • If your users require desktop applications (Word, Excel, PowerPoint, Outlook), Intune, Azure AD Premium P1, and advanced security features, Microsoft 365 Business Premium Nonprofit is generally the closest replacement.
      • If users only need web and mobile apps together with Exchange Online, SharePoint Online, and OneDrive, Microsoft 365 Business Basic Nonprofit may be sufficient.
      • For more information, please consult Microsoft 365 Business Plans and Pricing | Microsoft 365.
    3. Assign the new licenses
      • Assign the replacement licenses to all affected users before service suspension progresses further.
      • Once licenses are assigned, users should retain access to their existing mailbox, OneDrive data, SharePoint sites, Teams content, and permissions.

If the subscription has only recently entered the Disabled state, there is often still an opportunity to recover without data loss. However, if the tenant reaches the final deletion stage and services are permanently removed, recovering organizational data can become significantly more difficult or impossible.

If you want a more direct assistance and guide you through this process with a live conduct, you can use your admin credentials to submit a support request through the Microsoft 365 Admin Center.

Microsoft also provides customer service phone numbers based on your region. Your IT admin can find the appropriate contact number here: Customer service phone numbers - Microsoft Support

This approach allows a Microsoft Support Billing Team to schedule a remote session, review your current environment in real time, and provide step-by-step guidance tailored to your specific requirements and situation.
