Scheduling and managing events using Outlook.com calendar
Only events stored on the Gmail account’s primary calendar can affect your Outlook work availability; events on secondary, shared, or subscribed Google calendars are not included, even when Include personal events in my work or school availability is enabled.^1^
Check the affected events
- Open the event in Google Calendar.
- Check which calendar owns it:
- If it is on the primary calendar associated directly with your Gmail address, continue below.
- If it is on another calendar under My calendars or Other calendars, move or copy it to the primary Gmail calendar. Outlook cannot incorporate secondary-calendar events into work availability.
- Ensure the event is marked Busy, Tentative, or Away, rather than Free.
- In Outlook on the web, open Calendar → Add calendar → Add personal calendars and leave Include personal events in my work or school availability enabled.
- Test from Scheduling Assistant, preferably by having another person in your organization check your availability. Personal event details remain private; Outlook should expose only the Busy, Tentative, or Away status.^1^
If invited Google events are missing
For events created from invitations, Google’s setting must allow invitations to appear on the calendar:
- Open Google Calendar → Settings → General.
- Find Automatically add invitations to my calendar.
- Select one of the Yes options.
Microsoft identifies this setting as necessary for invited meetings to appear and be handled in Outlook.^2^
If primary-calendar events still do not affect availability
If a newly created Busy event on the primary Gmail calendar appears in Outlook but not in Scheduling Assistant, the supported personal-calendar integration is not functioning as documented. Similar Outlook on the web cases have reported connected Gmail accounts no longer contributing events or availability; the recommended escalation is Outlook on the web → Help → Contact Support.^3^
Until it is resolved, the reliable workaround is to either:
- Add your work address as a guest to each relevant Google event and accept it in Outlook, or
- Create a corresponding Busy block directly on your work calendar.
An iCal subscription can display the Gmail events, but subscribed events do not contribute to Scheduling Assistant availability.^3^
